Essential Duties and Responsibilities: 

This position is responsible for the following and other duties may be assigned: 

  1. Receives, Inventories and Stores all documents in the appropriate location 
  2. Issues all controlled documents to users. 
  3. Maintains accountability log of document users. 
  4. Conducts periodic audits of inventory and users, ensuring that all documents are accounted for. 
  5. Maintains the document control system consisting of project-related documentation, drawings, internal manuals, and audit reports related to the controlled documents. 
  6. Receives all document and drawing changes including administrative clerical checking for accuracy and completeness and release to the authorized users. 
  7. Confers with document originators to resolve discrepancies and update procedures. 
  8. Provides guidance on document control practices and procedures to all functional departments 
  9. Ensures that documents are revised and processed in a timely manner, according to the change control process and department processing time goals. 
  10. Performs training for the users of the document control system. 
  11. Issues, maintains, stores and archives quality documentation. 
  12. Performs other duties and services to ensure a successful project is delivered and client is satisfied. 

Required Education & Experience: 

  1. High school diploma or GED required. Bachelor’s degree from accredited college/university equivalent experience preferred. 
  2. A minimum of 2 years’ experience in document control systems (both manual and electronic systems) in an administrative capacity preferred. 

Working Conditions: 

  1. Must possess mobility to work in a standard office setting and use standard office equipment, including a computer.  
  2. Mobility to climb up and down stairs, as needed. 
  3. Strength to lift and carry materials weighing up to 20 pounds 
  4. Vision to read printed materials and a computer screen, including the ability to look at a computer screen for at least eight hours each day 
  5. Regular exposure to all weather conditions, especially hot, humid and/or rainy weather, combined with regular work time indoors in environmentally controlled conditions. 
  6. Utilize PPE, as needed. 

Necessary Equipment Operation: 

  1. Office equipment, including telephone, fax machine, scanner, computer, printer 

Special Skills: 

  1. Must be knowledgeable in GMP and ISO 9001 document control systems.  
  2. Must demonstrate exceptional computer skills, software application proficiency and database management especially Word, Excel, Adobe Acrobat, Visio and other programs as required.  
  3. Must have excellent organizational, document review and communication skills essential with the ability to lead a meeting of technical professionals.  
  4. Must have good interpersonal skills with the ability to interface constructively and cooperatively with a wide variety of departmental staff and intra-department personnel.

Skills Required
