Document & Business Solutions (DBS) is the company's primary office-based services provider for the firm, globally, operating across APAC, EMEA, LATAM, and NAMR in more than 50 cities. DBS is responsible for providing vital products and services, including but not limited to, creative & design, document creation/print/copy, mail distribution, messenger, courier, and fulfillment scanning and archiving. Additionally, DBS manages a suite of products, including, SmartPrint (floor printers), mail digitization and DBS's online service platform.
As a DBS Operations Supervisor, you will ensure professionalism in all aspects of customer service, providing flexible and responsive assistance to clients and colleagues. The role requires a 'can do' attitude with a flexible approach and using own initiative to provide mail, courier and print solutions to internal clients, working as part of a team to support the DBS operation and other tasks within the management team.
The Operations Supervisor will be responsible for the day to day oversight and operational management of staff. You will actively manage the team and operation to ensure work requests and volumes receive the correct manpower and processes are adhered to providing quality output without errors. The Operations Supervisor will be the first point of contact for the local and DBS Management team, providing regular updates and working together to escalate and manage any known or potential issues that may impact the team or operations.
Job Responsibilities:
- To manage teams and lead by example, managing attendance, operational discipline and continuous improvement measures across the operation
- To document in a clear and concise manner when conducting shift handovers to maintain operational consistency across all shifts
- To provide management oversight and guidance on all operational procedures and operational workflows
- To ensure quality control prior to moving to production, and before delivery to the end user, providing experienced insight into quality management procedures
- To manage and oversee that production equipment is being used to the highest standards, in line with job specification or user specification
- To monitor and control the production workflow and the achievement of delivery deadlines to ensure efficient production management
- To manage, control and monitor inventory across the operation, maintaining metrics to manage wastage within the agreed tolerance for the operation
- Management of the process and control for mail and courier responsibilities
- Management and compliance of x-ray scanning and supporting procedures for the operation
- E-mail, phone and face to face communications to respond to client's requests/questions
- Client focused approach and point of contact for the LOB's, maintain and build business relationships
- Manage vendor relationships
Required Qualifications, Skills and Capabilities:
- Strong written and spoken English skills
- Able to demonstrate and evidence leadership, communication and people skills
- Excellent time management and organizational skills
- Excellent understanding of print technologies and production environment
- Good working knowledge of key Microsoft programs and ability to analyze data
- Experience with handling client requests/issues and managing products and service expectations
- Organized and efficient with self-motivation
- Managing change, process and staff development
