Position Summary

The Director of Advancement Operations provides strategic and operational leadership for the Advancement Operations function, ensuring that fundraising systems, processes, governance, and resources are effective, compliant, and aligned with organizational goals. This role is responsible for designing and continuously improving scalable operational infrastructure that enables fundraising performance and supports organizational growth. The Director oversees Advancement Operations, including data and analytics, CRM strategy and governance, prospect research, gift processing, compliance, and organizational reporting, while delegating day-to-day execution to functional leads.

 This position ensures that systems, workflows, and outputs support effective decision-making, pipeline management, and performance tracking across the entire Advancement team. In this capacity, the Director manages the department budget and serves as the primary financial liaison for Advancement, leading the annual budgeting process and overseeing ongoing financial monitoring and analysis. The role establishes and enforces operational governance through documented procedures, cross-functional coordination, and partnerships with Legal, IT, Finance, and Internal Operations. The Director oversees Salesforce governance, reporting frameworks, data visualization, wealth screening, and partner review processes to ensure consistency, quality, and usability across the enterprise. The Director manages key vendor relationships and drives continuous improvement, risk mitigation, and operational efficiency across the function. This position requires strong executive presence, strategic judgment, and the ability to translate organizational strategy into operational excellence and measurable results.

The Director of Advancement Operations maintains the department’s standard operational frameworks, governance, and accountability structures that drive consistency in departmental operations. Through cross-departmental coordination, the Director ensures that the established operational systems and reporting provide clear visibility into key operational metrics, resource utilization, and progress toward fundraising objectives.

The Director of Advancement Operations oversees the operational and organizational infrastructure required to support enterprise fundraising and partnership growth, including charitable registrations, fundraising compliance, organizational ratings and accreditations, gift acceptance governance, and other institutional capabilities necessary to maintain fundraising readiness, donor confidence, and organizational credibility. The position also oversees the standards, systems, processes, and infrastructure that support lifecycle management of partnership opportunities, portfolio management, and cross-functional coordination. The role ensures that data, technology, reporting, and operational workflows provide timely visibility into partnership activity, support effective decision-making, and enable disciplined management of partnership opportunities from identification through stewardship.


Essential Duties and Responsibilities

Enterprise Planning, Revenue Strategy, and Performance Management

  • Oversees the planning and implementation of operational improvements that support fundraising effectiveness and organizational objectives.
  • Manages reporting, analytics, and performance tracking systems that provide visibility into operational performance and fundraising pipeline activity.
  • Manages the Advancement department budget, ensuring proper use of departmental resources and adherence to protocols and procedures, including reviews and approvals of all purchases.
  • Monitors operational performance and implements continuous improvements to enhance efficiency, quality, and effectiveness.

Advancement Operations and Enterprise Enablement

  • Supports the Vice President in establishing operational frameworks and standards that support effective and consistent fundraising execution across all Advancement functions.
  • Establishes and oversees operational policies, business processes, and performance standards that support effective fundraising.
  • Drive continuous improvement initiatives that enhance organizational effectiveness, reduce barriers to execution, and support growth.
  • Identify and mitigate operational risks to strengthen organizational performance and readiness.

Advancement Infrastructure, Data, and Business Intelligence

  • Leads management of advancement systems, technology, data governance, and business intelligence capabilities that support fundraising.
  • Oversee analytics, organizational reporting, prospect research, and market intelligence functions that generate actionable insights and support enterprise decision-making.
  • Ensures the integrity, accessibility, and effective use of organizational data to support performance management and strategic planning.
  • Advance technology and data capabilities to meet organizational growth objectives and evolving business needs.

Fundraising Readiness, Compliance, and Organizational Stewardship

  • Ensure organizational readiness and compliance with fundraising regulations, charitable solicitation requirements, organizational policies, and applicable legal and ethical standards.
  • Oversee governance frameworks related to gift acceptance, fundraising administration, advancement operations, and organizational transparency.
  • Manage ratings, accreditations, and external reporting processes that strengthen donor confidence and institutional credibility.
  • Partner with Legal, Finance, Compliance, and other stakeholders to mitigate regulatory, operational, and reputational risks.
  • Enterprise Coordination and Partnership Governance
  • Facilitate cross-functional revenue planning and decision-making among advancement, programmatic, finance and executive leadership teams.
  • Maintain visibility into key operational metrics, resource utilization, and fundraising performance.
  • Implement governance processes that support effective operations, resource allocation, and leadership decision-making.

Organizational Growth, Innovation, and Capability Building

  • Build and lead a high-performing advancement operations and enablement function, fostering a culture of accountability, trust collaboration, and continuous improvement.
  • Evaluate and implement innovative approaches, technologies, and operational models that enhance effectiveness and impact.
  • Lead special projects and strategic initiatives and supervise assigned staff, including coaching, performance management, and professional development.

Qualifications and Experience

  • Master's degree in Business Administration, Public Administration, Nonprofit Management, Public Health, Organizational Leadership, or a related field.
  • Minimum of 8 years of progressively responsible leadership experience in advancement and fundraising operations, systems administration, business operations, revenue operations, or related fields.
  • 5+ years of demonstrated experience with CRM platforms, preferably Salesforce, including administration, configuration, and user management
  • Proven experience designing and implementing operational processes, systems, and procedures that improve efficiency and effectiveness.
  • Strong expertise in data management, analytics, and reporting
  • Experience managing budgets, procurement, vendor relationships, and financial analysis at departmental or operational level.
  • Demonstrated ability to lead process improvement and continuous improvement initiatives that achieve measurable results.
  • Knowledge of nonprofit fundraising operations, gift processing, donor database management, and related compliance and governance requirements.
  • Strong project management, organizational, and problem-solving skills with ability to manage multiple priorities and cross-functional initiatives.
  • Excellent written and verbal communication skills with ability to document procedures, create technical specifications, and present to leadership.
  • Experience building and managing small to mid-sized teams; demonstrated ability to develop staff and foster collaborative work environment.
  • Proficiency with Microsoft Office and project management tools, like Smartsheet; demonstrated ability to quickly learn and adopt new systems and technologies.
