Position Summary

The Office Manager develops and maintains the financial controls necessary for the proper operation of the dealership. This position is responsible for maintaining accurate financial records, supporting dealership accounting operations, improving processes, and ensuring timely completion of financial reporting and reconciliations.

The ideal candidate is an experienced automotive accounting professional with strong attention to detail, leadership skills, and a solid understanding of dealership financial statements and office operations.

Key Responsibilities
  • Assist in preparing financial statements in accordance with established deadlines
  • Interpret and analyze dealership financial statements
  • Maintain an effective cash management system
  • Perform daily bank reconciliations and prepare daily cash reports
  • Approve adjustments to inventory, cost of service, and expense accounts
  • Coordinate and prepare reconciliations for all accounts and physical inventories
  • Reconcile all accounts prior to month-end
  • Maintain and post monthly standard journal entries
  • Complete end-of-month accounting reports as assigned
  • Run and review monthly expense trend reports
  • Assist with annual reviews and audits
  • Work closely with office staff to ensure the timely completion of assigned responsibilities
  • Identify opportunities to automate processes and improve internal controls
  • Provide backup accounting support as needed
  • Assist with special projects and other accounting initiatives
  • Demonstrate behaviors consistent with the company's Vision, Mission, and Values
  • Maintain compliance with company policies, procedures, and safety standards
Qualifications & Requirements
  • 3–5 years of automotive dealership experience required
  • Previous Office Manager, Accounting Manager, Assistant Controller, or similar dealership accounting experience preferred
  • Toyota dealership experience is a plus
  • Strong knowledge of dealership financial statements
  • Working knowledge of automotive dealership accounting and office positions
  • Ability to interpret and explain financial information clearly and effectively
  • Experience working in a fast-paced dealership environment
  • Strong attention to detail and organizational skills
  • Excellent follow-through and problem-solving abilities
  • Strong verbal and written communication skills
  • Ability to manage multiple priorities and meet deadlines
  • Proficiency in Microsoft Office, including Excel, Word, and Outlook
  • High school diploma or equivalent required
