The Role

The Deal Coordinator Manager oversees the Deal Coordinator team responsible for managing the administrative and operational aspects of property transactions. This role ensures the consistency, efficiency, and accuracy of deal execution by streamlining workflows, optimizing task delegation, and collaborating with Transaction Management (TM) leadership to identify and transition suitable tasks to offshore partners. The ideal candidate combines strong process management skills with a deep understanding of transaction management operations, developing expertise in portfolio TM workflows over time.

Key Responsibilities

Team Management & Leadership

  • Lead, mentor, and develop a team of Deal Coordinators, ensuring adherence to established standards and SLAs.
  • Monitor performance metrics, provide coaching, and conduct regular feedback sessions.
  • Foster collaboration between Deal Coordinators, Transaction Managers, and cross-functional partners.

Process Optimization & Offshoring

  • Partner with TM leadership to identify tasks suitable for offshoring and develop implementation plans.
  • Continuously evaluate workflows to increase efficiency, accuracy, and scalability.
  • Document best practices and create process guides to support both onshore and offshore execution.

Transaction Management Support

  • Oversee the end-to-end deal coordination process, ensuring accurate and timely task completion, including:
    • Document drafting (PSA, Lease, and related agreements).
    • Opening checklist execution (PSA review, title onboarding, asset allocation, EMD and TQ requests).
    • Data entry (information capture from Rextera reports, HOA follow-ups).
    • File management (uploading HOA docs, amendments, and other key transaction documents).
  • Ensure all files meet compliance and documentation standards.
  • Act as a subject matter expert on transaction workflows and assist with escalations or complex deal scenarios.

Portfolio Transaction Management Learning

  • Learn and support the nuances of portfolio transaction management to enable cross-functional coverage and strategic process alignment.
  • Collaborate with TM leadership to integrate portfolio-specific processes into deal coordination workflows.

Qualifications

  • Bachelor’s degree in business, real estate, or related field preferred.
  • 3–5+ years of experience in real estate transaction coordination or management.
  • 1–2 years of team leadership or supervisory experience preferred.
  • Strong understanding of transaction documentation (PSA, leases, amendments).
  • Excellent organizational, communication, and problem-solving skills.
  • Experience working with CRM or transaction management platforms (e.g., Rextera) is a plus.
  • Proven ability to manage multiple priorities in a fast-paced environment.
