The Guardian US is seeking an organized, proactive, and detail-oriented full-time office coordinator to support the daily operations of our Washington, DC office. This individual will play a key role in maintaining a welcoming, functional, and efficient work environment by assisting with facilities, editorial and admin support, supplies and event coordination. 

This role requires three days per week (two in office/one remotely).


Job Title: Office Coordinator 

Location: Washington, DC 

Department: Guardian US 

Reports to: Senior editorial operations manager 

Salary range: $30-32/hr

Terms & Conditions: Part-time, permanent. Three days a week. Occasional early/late and weekend work required.

Key responsibilities: 

Office operations & facilities support 

● Liaise with building management on facilities-related needs and issues 

● Maintain office access and safety protocols 

● Coordinate office improvements, including tech setup and furniture moves 

● Manage package deliveries and distribution 

● Order and organize office supplies

● Keep kitchen and common areas tidy and well-stocked 

Administrative & editorial support 

● Assist with setting up interviews and media equipment 

● Coordinate food orders and prep for in-office meetings and guest visits 

● Support calendar management and meeting logistics as needed 

● Welcome visitors and ensure the office is set up for their arrival

● Assist with onboarding of new staff: desk setup, phones, office orientation, IT coordination

● Create a DC off diary rota (schedule), maintain it, and coordinate it with the central newsdesk rota.

● Assist with general administrative office duties and projects

● Conduct monthly check-ins with desk editors, check on contributor emails.

● Process desk payments & expenses (training provided)

● Assist with subscription management

● Assist with travel arrangements for staff and freelance contributors

● Assist the main DC editor with special events logistics, such as midterm elections, political conferences.

● Manage DC team resources, such as a central calendar of political, cultural, and media-related events in DC, press contacts and a local guide for office visitors

 

Skills & experience: 

● Highly organized and reliable, with strong attention to detail 

● Good communication and interpersonal skills 

● Comfortable with basic tech troubleshooting (printers, conference screens, etc)

● Admin experience in media or newsroom environments a plus 

● Self-starter with a proactive, problem-solving approach
