Position Overview

Daily Harvest is seeking an Executive Business Partner to be a critical partner to strategically support our Founder & CEO.

You will be a master communicator, positive cultural pillar, trusted advisor and advocate, and proactive problem solver and time manager (which is important during our temporary remote environment). You will not only make sure that nothing falls through the cracks, but you will fully engross yourself into the inner workings of our Founder & CEO, and CFO to proactively anticipate and solve things before they happen. 

We are looking for someone who is solutions-oriented, detail-oriented, with clear communication skills, a “no ego” growth mindset to support our Founder & CEO while providing strategic leverage and having a direct impact on the business. You should be excited about the opportunity to work in a fast-paced, start-up environment where you get to flex between bringing strong EA foundations and stretching outside of your comfort zone to effectively and seamlessly get stuff done. 

What you’ll do:

  • Calendar and Time Management: Strategically drive and manage the time of the leaders you support, including looking around corners, anticipating needs, recommending, and then gate-keeping time for strategic thought, breaks, etc. 
  • Meeting Management and Follow Up: Actively participate in meetings as assigned, preparing materials as needed in advance to ensure the Founder & CEO and CFO are prepared with proper context, ensure all meetings have clear agendas ahead of time, take clear notes as needed, document action items and follow up to help Founder & CEO and CFO stay organized. 
  • Activities, Travel and Expenses Management: Coordinate logistics for special business events and personal projects, including gathering information and resources, anticipating and preparing materials as needed; when we return to normal travel, arrange travel (domestic and international), restaurant reservations, conferences, catering, off-site meetings, etc. including preparation of comprehensive travel itineraries, contact lists, etc.; work with Finance team to onboard new vendors, ensure timely payment of invoices for VPs you support, update Finance team on project spend, etc. 
  • Strategic Enablement: Partner with the Chief of Staff to assist in drafting internal communications to support cascading key messages through the organization; triage, prioritize and draft emails on behalf of our Founder & CEO and CFO as assigned; prepare presentation decks (Google Slides), memos/briefs, and other documentation as assigned. Bonus points for knowing our Founder & CEO and CFO, SO well that your work and communications mirror their communication styles seamlessly. 
  • Proactive Problem Solving / Triage: Always be two steps ahead of any operational, strategic, or administrative problems that may arise and proactively triage and project manage them with confidence and strong conviction of how our Founder & CEO or CFO would do so themselves.   
  • Relationship Management: Track and manage the CEO and CFO’s lists of external contacts, ensuring regular and meaningful follow up, proactively recommending touch points to maintain engagement and relationship building. Includes regular management and interface with the Board of Directors, and bespoke gifting to personal contacts of the CEO. 
  • Team Culture: Serve as a trusted advisor and culture carrier for the teams you support, keeping a pulse on the team, proactively supporting the Founder & CEO, and CFO in orchestrating team culture activities, swag, birthday/anniversary cards, and celebrations, team milestones, etc.
  • Social Media Management: Manage the CEO’s social media accounts (instagram, Linkedin, etc.), posting daily (content assigned and drafted by the Comms team), flagging follow ups from reactions / responses, etc. 
  • Special Projects: Assist with additional special projects to provide strategic enablement, decision facilitation, and drive the business forward (i.e.: information gathering and organization, preparing documentation, ordering swag, assisting in “all hands on deck” internal events outside of your functional area, etc.)

Who you are:

  • You have experience working as an Executive Assistant in a fast-paced, scrappy, start-up environment to C-level team members for 8+ years
  • You are detail-oriented: things don’t fall through the cracks on your watch, you take impeccable notes, stay incredibly organized, and as a result, help your Executive do the same 
  • You are extremely tech fluent and nimble: you are familiar with G-suite of products, and able to quickly learn new technologies (Asana, Notion, etc.) - in fact, you get excited and proactively research new tools to be one step ahead. You can also build a clean, aesthetically pleasing presentation deck in your sleep 
  • You are proactive and have a learning mentality: you don’t wait to be told what to do, you ask questions to get the information you need, you identify gaps and proactively recommend solutions, and are always three steps ahead 
  • You are a critical thinker: you pride yourself on being able to evaluate and analyze problems or scenarios, cut through the noise, form judgments, and action accordingly
  • You have professional presence: you are confident using your voice and interacting with leaders of all levels of the organization to get what you need and get them what they need to be successful 
  • You have a high EQ: you are a master at navigating and understanding a combination of self-awareness, self-regulation, motivation, and empathy to best achieve your goals
  • You are curious and motivated: you want to learns the ins and outs of all things Daily Harvest, leave your mark, affect change and strategy and do so with a vigorous passion for the brand
  • You are a collaborative team player: you are a positive force for everyone you interact with at Daily Harvest, jumping in where needed, infusing extra energy, and believing in positive intent 
  • You are a thoughtful and clear communicator: whether it is taking great notes, summarizing action items, or drafting emails on behalf of your leader, your written communication is clear, concise, and in the appropriate tone for the audience
  • You are a trusted advisor and advocate for those you support: you handle confidential information seamlessly, are consistent and reliable
