We are seeking a detail-oriented and organized Data Entry Clerk to accurately enter, update, maintain, and manage information in company databases, spreadsheets, and computer systems. The Data Entry Clerk will be responsible for ensuring that records are complete, accurate, organized, and up to date.
The ideal candidate has strong attention to detail, excellent organizational skills, good computer proficiency, and the ability to work efficiently while maintaining a high level of accuracy. The successful candidate will handle confidential information professionally and communicate effectively with coworkers, customers, vendors, and other departments as needed.
Key Responsibilities
Enter data accurately and efficiently into databases, spreadsheets, and company systems.
Review documents and source information for completeness and accuracy.
Verify, correct, and update existing records.
Compare entered information against original documents to identify and correct errors.
Maintain accurate electronic and, when applicable, paper records.
Organize and maintain files, documents, forms, and records.
Process invoices, purchase orders, customer information, applications, reports, and other business documents.
Perform routine data cleanup, including identifying duplicate, incomplete, or outdated information.
Retrieve and provide data and records when requested by authorized employees.
Assist with scanning, uploading, indexing, and organizing documents.
Maintain spreadsheets and databases according to established procedures.
Perform basic data searches and generate reports as needed.
Follow established data-entry procedures, quality standards, and security requirements.
Protect confidential and sensitive company and customer information.
Communicate discrepancies or missing information to the appropriate department or supervisor.
Assist other departments with administrative and clerical tasks as needed.
Meet established productivity, accuracy, and deadline requirements.
Perform other duties as assigned.
Data Management Responsibilities
Enter and maintain customer, vendor, employee, inventory, financial, or operational information.
Ensure information is entered using the correct formatting, coding, and classification.
Regularly review records for accuracy and consistency.
Update information promptly when changes are received.
Maintain organized electronic filing systems.
Follow company procedures for data retention, storage, and document management.
Assist with database maintenance and data quality projects.
Administrative Responsibilities
Prepare, organize, and distribute documents.
Sort and process incoming paperwork and electronic files.
Respond to routine emails and information requests.
Schedule or coordinate administrative tasks when necessary.
Maintain office records and filing systems.
Assist with copying, scanning, printing, and document preparation.
Support managers and other departments with general administrative duties.
Required Qualifications
High school diploma or equivalent preferred.
Previous data entry, administrative, clerical, office, or related experience preferred.
