Executive Leader, IT Service Management, Productivity Tools & Technology Financial Program Management Office

You have accountability for the management of our overall technology budget, systems, and the services provided to the CTO and Technology Leaders in the management and tracking of technology resources and expense. You are accountable for operations that own the IT Service Management (ITSM) platform Service Now and IT Change Management processes. This includes accountable for the administration and operations that support our Productivity applications which include tools from Microsoft, Atlassian, Workfront, Smartsheet, Chime, and Zoom. Finally, you will mentor/develop, evaluate and build out a team that are servant leaders, who have a bias for action and commitment to operational excellence.
Qualified candidates will possess a strong understanding of finance and accounting principles. In addition, they will have a general understanding of legal and contractual concepts (ex. NDAs, SOW, MSAs, etc.) and IT Service Management /ITIL frameworks. Prior experience within technology and/or retail is a plus. Lastly, we are looking for a systems thinker with a passion for process design and continuous improvement.
Responsibilities:
Manages teams across IT Service Management/Service Now, Productivity Tools (Microsoft O365, SharePoint, Smartsheet, Workfront, Atlassian, Chime/Zoom), and the Shared-Services of the Technology Management Office covering Technology Budget & Expense, Technology Portfolio Management, and Technology Contract & Vendor Management.
Assists with establishing and implementing operations, systems, policies and procedures that achieve the directives and strategies established by CTO and VPs of Technology.
Identifies continuous improvement opportunities within budgeting and contract management activities across the Tech organization to drive best practices and increase organizational efficiency and effectiveness.
Contributes to and influences the long-range strategic planning for responsible Technology functions.
Evaluates and prioritizes competing business-critical projects, initiatives, resource requirements and timelines.
Manages external third-party relationships (partners and vendors) and ensures achievement of service level expectation.
Reviews and approves functional activity and proposals from multiple perspectives, including operational, financial, and overall business value
Plans for both short-term and long-term staffing needs and defines the appropriate organizational structure.
Acts as primary liaison with Finance, Accounting, Indirect Procurement, and Legal
Report to Tech Leadership team on budget tracking, project and general and administrative expenses, new budget requests and contract updates
Responsible for overall process of technology contracts and related fees are aligned with budget expectations
Work with the Indirect Procurement Team on RFP, RFQ, and vendor evaluation process, communicate to Tech Team stakeholders
Manage contract changes. Ensures issues and disputes are managed, tracked, and documented
Qualifications:
10+ years’ professional experience with Technology budget & expense management, as well as contract and negotiations experience
5+ years of leadership experience leading leaders of teams
Experience with IT Service Management systems like Service Now, ITIL processes, or CMDB frameworks a plus
Experience in contracting and vendor management with complex products, services, and support with strategic vendor partners like Microsoft, Cisco, Oracle a plus
Advanced knowledge of Microsoft Excel, Microsoft Office Suite. Smartsheet a plus.
Experience with budgeting and financial transaction systems such as; Adaptive Insights, Anaplan, Basware, OnIt, or Coupa a plus
Entrepreneurial mindset with strong analytical, decision making, project management, planning and organizational skills
Passion for details and organization at all levels, with vision for broader goals
Ability to transform numbers to tell a story, unlock insights. Exceptional written and verbal communication skills, excellent document writing
Deep familiarity with Technology disciplines and concepts including IT service contracts, SaaS, hardware procurement, telecom, etc.
Ability to easily earn trust across all levels of an organization
Proven ability to inspire and lead a team through mentorship
A systems thinker with a passion for process design and continuous improvement
Positive attitude, ability to work well and fast under pressure, exceptional customer service
Position is located in Austin, Texas at Whole Foods Market Global Headquarters
Requires up to 10% travel, as needed
