Position Summary:

Working collaboratively with the Member Services team and reporting to the Member Services Director, the Member Services Assistant Director helps lead the day-to-day operation of the Member Services department. This role supports the team in promptly responding to member inquiries, processing accounts, giving tours, and handling the full range of office administrative responsibilities, while also assisting with staff supervision, training, and coverage in the Director's absence.

Duties and Responsibilities:

  • Assist the Member Services Director in the daily supervision and coordination of the Member Services team, including scheduling and coverage.
  • Greet and welcome members, new members, and prospective members.
  • Lead tours for new and prospective members.
  • Set up new memberships.
  • Coordinate tours and orientation/set up for all insurance members.
  • Submit monthly report for insurance members' visit reimbursement.
  • Resolve members' issues when possible; ask for assistance and/or refer to appropriate co-worker or supervisor when necessary.
  • Process membership changes, adjustments, and cancellations.
  • Reconcile payments daily.
  • Manage credit card and ACH declines monthly.
  • Set up, cancel, and update employee memberships.
  • Set up guest passes for members and their guests.
  • Assist in training new Member Services staff on policies and procedures.
  • Fill in at the Front Desk on an as-needed basis.
  • Serve as a point of contact for member service matters in the Director's absence.
  • All other duties as assigned.

    Work Environment & Physical Requirements:

    • Primarily an indoor office and front-desk environment with regular member and staff interaction.
    • Ability to sit or stand for extended periods and move throughout the facility to give tours and assist members.
    • Occasional lifting of office supplies or materials up to 20 lbs.
    • Ability to work a flexible schedule, including some evenings and weekends, as needed.

    Qualifications
    1. Knowledge and Education - Minimum Required or Preferred: High School Diploma required; Associate's or Bachelor's degree preferred.
    2. Experience - Minimum Required or Preferred: 2+ years of experience in billing and customer service, preferably in a hospitality or membership environment, including some supervisory or lead experience.
    3. Special Skills: Focused, organized, personable, diplomatic, efficient, computer literate and proficient in Word and Excel; strong leadership and communication skills.

    Skills Required

    • GED or higher; high school diploma preferred
    • At least one year of front desk receptionist experience, preferably in hospitality
    • Strong customer service, communication, organization, attention to detail, multitasking, professionalism, computer, and problem-solving skills
