JOB SUMMARY

The CRM Communications Coordinator plays a vital role within Hamline University's enrollment division, coordinating and executing the day-to-day tactical communication plans across undergraduate, graduate, and online degree completion programs. Reporting directly to the Assistant Vice President for Enrollment Systems and Operations, this position serves as an essential hub—working closely with the enrollment operations team, the university marketing team, and the undergraduate and graduate enrollment teams. The Coordinator utilizes Slate CRM to build, deliver, and monitor communication campaigns that engage prospective students. This role focuses heavily on the technical setup, visual formatting, timing, and brand consistency of all automated and ad-hoc communication flows, ensuring a seamless prospective student experience from initial inquiry through enrollment.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

CRM Communications & Technical Execution

  • Draft, design, and deploy engaging, audience-tailored communication content, email campaigns, and automated text workflows for undergraduate, graduate, and degree-completion populations, adhering to copy, tone, and strategic direction set by enrollment leadership.
  • Build and schedule CRM communication features—including Deliver campaigns, automated message workflows, SMS outreach, and event communications—integrating approved written content into responsive templates.
  • Utilize CRM template tools and drag-and-drop editors to build visually responsive, mobile-optimized email layouts. Set up routine communication populations using data queries, filters, and dynamic Liquid syntax to render tailored content blocks automatically.
  • Collaborate closely with the admissions operations team and enrollment leaders to align technical data workflows, content production schedules, and message timing with key milestones across the recruitment cycle.

Cross-Departmental Collaboration & Brand Compliance

  • Partner heavily with the University Marketing and Communications team to translate creative content, messaging assets, and campaign layouts into functional CRM communication workflows.
  • Assist the leaders of Undergraduate and Graduate Admission by executing tailored recruitment campaigns, deadline reminders, and population-specific message tracks.
  • Act as a dependable bridge between creative marketing intent, admissions recruitment schedules, and operational CRM execution.
  • Ensure all CRM-generated emails, text messages, and landing pages adhere strictly to Hamline University's brand guidelines, tone, and visual standards.

Data Accuracy, Quality Control, & Testing

  • Conduct rigorous quality assurance and proofing for all communication logic, hyper-links, target populations, and layout formatting prior to deployment.
  • Monitor delivery metrics, open rates, and click-through rates, assisting the AVP with compiling regular data reports to help evaluate communication effectiveness.
  • Monitor and troubleshoot system-related communication errors or delivery failures, collaborating with the AVP for Enrollment Systems and Operations to resolve technical glitches promptly.
  • Ensure strict compliance with digital communication regulations and telephone outreach policies, maintaining precise data privacy standards.

Operational Support & Event Coordination

  • Support the communication logic for campus visit programs and virtual events, creating automated confirmation templates, reminder text workflows, and follow-up surveys.
  • Document internal communication workflows and update reference guides for CRM communication setups to foster continuity within the enrollment team.

Other Duties

  • Perform additional work-related duties as assigned, including backup support to members of the enrollment operations team as needed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

REPORTING RELATIONSHIPS

The CRM Communications Coordinator reports directly to the Assistant Vice President for Enrollment Systems and Operations. This position does not have direct supervisory responsibilities over full-time staff, but works in close daily alignment with the admissions operations team, marketing team, and undergraduate and graduate enrollment teams. The Coordinator may assist in managing communication tasks or workflow assignments for undergraduate student workers within the department.

BUDGET MANAGEMENT RESPONSIBILITIES

This position does not have direct budget management or cost center responsibilities.

REQUIRED KNOWLEDGE, SKILLS, ABILITIES AND KEY COMPETENCIES

  • Proficient computer literacy and technical aptitude with a strong willingness and capacity to train extensively on advanced higher education CRM systems (Slate preferred).
  • Strong capability to design visually appealing layouts and execute edits using content management systems, drag-and-drop design builders, or standard email marketing tools.
  • Strong collaborative and interpersonal skills, with a proven capability to communicate effectively across diverse internal teams (operations, marketing, and recruitment leadership).
  • Excellent written communication and storytelling skills, with demonstrated experience writing clear, engaging content for marketing or student recruitment communications.
  • Exceptional proofreading, editing, and formatting skills, with meticulous attention to detail and narrative brand alignment.
  • Strong organizational and time-management skills, with the ability to handle simultaneous tasks and meet clear production deadlines.
  • Critical thinking and problem-solving skills, with a focused attention to data accuracy and testing protocols.

MINIMUM EDUCATION/EXPERIENCE

  • Bachelor’s degree from an accredited institution.
  • 1+ years of experience in higher education admissions, marketing, communications, or a general administrative operations role.
  • Demonstrated hands-on experience using a database system, marketing platform, or CRM (e.g., Slate, Salesforce, etc.) to look up information, pull lists, or send communications.

PREFERRED EDUCATION/EXPERIENCE

  • 2+ years of experience within a college admissions framework directly building and testing communications inside Slate CRM.
  • Experience working in a private, liberal arts university setting.
  • Proven success managing shared project request queues involving multiple creative and operational stakeholders.

ADDITIONAL INFORMATION

  • This is a full-time, 1.0 FTE, non-exempt (hourly) position, 12 months a year.

Compensation and Benefits:

Pay Range: $21.63 - $26.44 per hour
