CREATIVE OPERATION MANAGER

About the Role : 

Vestiaire Collective is looking for a Creative Operation Manager to join our Creative studio team for a 6-month contract. 


Vestiaire Collective is redefining what luxury fashion can look like, and the Creative Studio plays a key role in bringing that vision to life. As Creative Project Manager, reporting to the Creative Director, you'll be at the heart of the creative process, coordinating campaigns, social content, and brand initiatives from brief to final delivery.

You'll act as the bridge between stakeholders, Campaign Managers, creative teams, and production partners, ensuring projects are clearly scoped, effectively planned, and delivered on time. Working across creative operations, production, and workflow management, you'll help drive collaboration, optimize processes, and support the delivery of high-quality creative work aligned with business priorities.

 What you will do 
  • Campaign Coordination, Planning & Project Management

    • Act as the main liaison between company stakeholders, Campaign Managers, and Creative teams for all creative needs and requests

    • Review creative briefs from internal stakeholders to ensure objectives, deliverables, and timelines are clearly defined for the Creative team, while prioritizing tasks and managing team workload effectively

    • Develop and oversee production retroplanning, ensuring projects are delivered on time and aligned with business priorities

    • Monitor project progress to ensure objectives are consistently met

    • Act as the key point of contact for creative projects, maintaining communication with stakeholders

    • Support the day-to-day operations of the Social media team, ensuring content is delivered on time

    • Ensure all creative outputs align with the initial brief and quality expectations before final delivery

  • Production management

    • Manage small-scale internal shoots (mainly video content for social media and paid campaigns), from briefing and pre-production to post-production, including casting, talent & location scouting, shooting authorizations and plannings  

    • Manage production agencies for bigger-scale creative photoshoots and branding campaigns, from briefing to final delivery

  • Requests & Traffic management

    • Act as the owner of Creative Jira tickets: review, reassign, and follow up on requests

    • Ensure briefs are well understood by the Creative Studio team and, when necessary, adapt briefs and Jira tickets to align with Creative Studio guidelines

    • Liaise with stakeholders to ensure briefs contain sufficient information and realistic deadlines

    • Define project retroplanning with Creative Studio team, taking staffing and deliverables into account

  • Creative Operations, Administration & Onboarding

    • Define the Creative Studio yearly budget to ensure business objectives are met

    • Monitor spend and process invoices

    • Manage contracts and negotiations with Legal and Procurement teams, and handle vendor creation and purchase orders using the internal system Proactis

    • Act as the main point of contact for new company joiners regarding Creative Studio processes

    • Onboard new joiners to the creative processes at Vestiaire Collective

    • Provide guidelines on how to create briefs and Jira tickets

Who you are 
  • Proven experience of leading complex projects for an ecommerce player (2-3+ years) 

  • Proven Project Management skills showcasing organized & skilled management across multiple work streams; meeting deadlines and coming into budget 

  • Determined, resilient and able to stay positive under pressure 

  • High interest and sensitivity to fashion, luxury trends and sustainability  

  • Fluent in BOTH English and French

Skills Required

  • Leading complex projects for an e-commerce business (2-3+ years)
  • Strong project management skills across multiple work streams, meeting deadlines and budgets
  • Experience managing production for small-scale shoots and coordinating production agencies
  • Experience using Jira for request and traffic management
  • Experience with procurement/vendor processes and purchase order systems (Proactis)
  • Fluency in English and French
  • Interest and sensitivity to fashion, luxury trends and sustainability
