Job Summary
The Corporate Operations Specialist supports project execution and corporate operations by owning document control, contract administration, and operational coordination across multiple stakeholders. The role works closely with the COO, project leadership, and engineering to ensure contractual obligations, deliverables, and operational processes are clearly defined, tracked, and executed.
This is a hybrid role with minimum of 2 days in office in the Ottawa area.
Roles and Responsibilities
The Corporate Operations Specialist is responsible for supporting the core operational, contractual, and document-control processes that support Fusion Fuel Cycles’ projects and corporate activities.
Document Control & Information Management
Maintain a fit-for-purpose document control system across projects and corporate operations.
Ensure project records are complete, auditable, and aligned with regulatory and quality requirements.
Provide corporate and executive document preparation support as needed.
Contract & Commercial Operations
Support contract administration activities including deliverables tracking, invoicing, LEMs, change management, and contract correspondence.
Maintain contract registers, key dates, obligations, and amendment records.
Organize and track Change Notices, Change Directives, and Change Orders, ensuring timely review and approval.
Maintain project change logs and contract registers.
Manage project RFIs, responses, and associated logs.
Identify potential disputes, commercial risks, and disallowable costs and escalate them to the Project Manager.
Support contract discussions, commercial correspondence, and stakeholder communications.
Procurement Process Support
Administrative support to the Procurement team for vendors under contract, ensuring alignment with the master schedule and project milestones.
Coordinate with engineering to establish procurement forecasts, long-lead item registers, and material schedules.
Support sourcing strategies to ensure competitive pricing, vendor performance, and compliance with project specifications and standards.
Must have
Diploma or degree in Business Administration, Project Management, Engineering, Construction Management, Law, or a related field.
3+ years of experience in contract administration, project administration, procurement, commercial management, or a related role.
Strong organizational skills with exceptional attention to detail.
Experience managing project documentation, records, logs, and correspondence.
Strong written and verbal communication skills.
Proficiency with Microsoft Office applications
Ability to manage multiple priorities and deadlines in a project environment.
Nice to have
Experience in engineering, construction, infrastructure, energy, or other regulated industries is considered an asset.
