About Institutional Advancement

The next decade will be a time of significant transformation and growth as Haverford approaches the 200th anniversary of its founding in 1833. About the Position
The Coordinator of Institutional Advancement is a cross-functional role that provides crucial administrative, project, and communications support to the Alumni and Constituent Engagement team and the Gift Planning team. The coordinator supports the planning and execution of alumni, family, and donor engagement initiatives while also providing operational and stewardship support for gift planning activities, including but not limited to estate administration. This individual works closely with advancement colleagues to support events, communications, donor stewardship, and database management, while contributing to a positive and effective constituent experience across the lifecycle.

Primary Responsibilities

Operations and Systems Support

  • Ensure accurate and timely entry of constituent interactions, event participation, and other activities into the College’s CRM system (Raiser’s Edge)
  • Support data integrity and reporting by generating queries, preparing lists, and assisting with documentation and records management
  • Assist with the preparation of communications, correspondence and internal reports for meetings and donor interactions
  • Collaborate with other Coordinators on office needs, processes, and workflow improvements
  • Provide administrative support to departments including but not limited to scheduling, meeting preparation, travel coordination, expense reconciliation, and inventory management

Gift Planning Support

  • Support the development, production, and distribution of gift planning marketing and stewardship materials, including mailings and digital communications
  • Track and coordinate responses to gift planning outreach and ensure timely follow-up with donors and prospects
  • Assist with stewardship of gift planning donors and provide accurate information related to bequests and life income gifts
  • Support reporting and coordination with external financial agents and fiduciaries, as appropriate

Alumni and Constituent Engagement Support

  • Support the planning and execution of alumni, family, volunteer, and constituent engagement programs and events (on- and off-campus; in-person and virtual), including logistics, communications, and follow-up
  • In partnership with the Director of Volunteer Leadership Strategy, support the planning and implementation of the Alumni Association Executive Committee (AAEC) meetings and other volunteer leadership board meetings
  • Serve as a primary point of contact for incoming alumni, family, and constituent inquiries, responding directly or coordinating responses with appropriate colleagues as well as tracking and reporting as needed
  • Partner with Advancement Communications on the development, coordination, and distribution of engagement communications
  • Coordinate ongoing engagement initiatives such as class and affinity communications, obituary notifications, and recognition programs
  • Represent Institutional Advancement at select campus events, including evenings and weekends

Line of Report: The Coordinator of Institutional Advancement has a dual reporting relationship to the Executive Director of Gift Planning and the Assistant Vice President for Alumni and Constituent Engagement.

Minimum Qualifications

  • Bachelor’s degree or equivalent relevant experience
  • Two years of experience in an administrative, coordination, or project support role

Professional Competencies

  • Demonstrated ability to manage multiple priorities in a fast-paced environment with excellent attention to detail
  • Strong written and verbal communication skills
  • An adaptable, solutions-driven approach with a commitment to responsive and thoughtful service
  • Ability to handle sensitive and confidential information with discretion
  • Proficiency with Microsoft Office and Google Workspace with the ability to learn new technology systems quickly
  • Familiarity with Raiser’s Edge or similar CRM systems
  • Experience supporting events, donor communications, and/or stewardship initiatives
  • Comfort working across teams and “managing up” in a collaborative environment
