Responsible for assuring availability of basic and specialty equipment and supplies needed for all interventional radiologic procedures at University and Memorial campuses and all radiology equipment and supplies at offsite satellites including Hahnemann, Shrewsbury, Westboro and Milford. Ensures equipment and supplies are available for patient procedures. Orders supplies needed to maintain established par levels, ensures patients are billed appropriately for supplies used. Leads and participates in periodic and annual inventory count.

I. Major Responsibilities:

1. Responsible for ordering all supplies through the hospital materials management system as needed.  Works directly with purchasing and materials management staff for ordering and processing new supplies and equipment.
2. Verifies bill-only purchase orders for consignment and one-time only items are delivered by appropriate representatives.  Works with accounts payable to ensure all invoices are accurate and supplies are accounted for.
3. Develops and analyzes RFID (Radio Frequency Identification) reports to ensure no expired supplies are in the department.  Works with vendors to rotate supplies with short shelf life. 
4. Makes daily reminder calls to vendor representatives regarding supply orders.
5. Enforces UMass Memorial Vendor Policy by managing the flow of vendors and ensuring compliance with said policy.  Under the direction of the IR management, coordinates the attendance of vendors or representatives in cases requiring their product knowledge.  
6. Assists with sterile procedure setup in interventional procedure rooms, ensuring that specialized equipment and supplies are available for scheduled procedures.
7. Collaborates directly with the billing/coding supervisor or designee to verify accurate documentation of supplies and equipment used for each procedure.  Ensures patient billing is correct for all equipment and supplies used.  Reconciles charges on a daily basis by matching charge sheet against radiology charge master ensuring all items used are billed.   Assists coding supervisor in developing and maintaining the supply charge master for all procedural areas.
8. Updates and maintains Radiation safety compliance database recording patient demographics, dosing and procedure information. 
9. Responsible for maintenance of the RFID ordering system and database logs for the department.  Responsible for providing monthly supply reports outlining usage and pricing to management for budgetary purposes.
10. Documents and sends to warehouse instrumentation and equipment for repairs.  Works directly with hospital biomedical engineering staff on equipment failures.
11. Responsible for identifying and reporting all supply distribution issues to IR manager.
12. Coordinates and expedites all supply and equipment deliveries to all assigned campuses as directed by coordinator or manager.   Responsible for corrective action and follow up for incomplete and/or back orders which could impact patient care.
13. Responsible for periodic and year end inventory of all stock supplies in assigned areas.
14. Establishes par levels.  Responsible for receiving and documenting all incoming supply orders.  Stocks all procedure and assigned radiographic rooms.  
15. Complies with established departmental policies, procedures and objectives.
16. Attends variety of meetings, conferences, seminars as required or directed.
17. Demonstrates use of Quality Improvement in daily operations.
18. Complies with all health and safety regulations and requirements.
19. Respects diverse views and approaches, and contributes in maintaining an environment of professionalism, tolerance, civility and acceptance toward all employees, patients and visitors.
20. Performs other similar and related duties as required or directed.

II. Position Qualifications:

High School Degree required, a related Associates degree preferred.  Three years of related experience in a Radiology or Materials Management setting is required. A current valid driver’s license is required. Knowledge/experience in radiology equipment, purchasing, or materials management is preferred.  Knowledge and ability to use spreadsheet and database management programs and maintain electronic data files is required. Strong verbal and written communication skills are required. 

Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.

Department-specific competencies, including age-specific competencies and their measurements will be developed and maintained in the individual departments.  The competencies will be maintained and attached to the departmental job description.  Responsible managers will review competencies with position incumbents.

III. Physical Demands and Environmental Conditions:

Work is considered medium.  Position requires work indoors in a patient care environment.
