ABOUT THE ROLE

As the Contracts Intern you will support the Legal Department during a period of significant technology adoption and process improvement. You will report to a Contracts Manager and, the Legal team, and cross-functional stakeholders to assist with the implementation of new legal technology platforms, legal administration tasks, insurance compliance, collections processes, and corporate licensing and renewals. This is a part-time role with variable hours based on workload, not to exceed 40 hours per week.

You will play a hands-on role in consolidating legacy contract data, onboarding documents into Wells' new contract lifecycle management (CLM), supporting the rollout of collections tracking tools and a COI management solution. Key to success in this role is a detail-oriented approach to data management and quality assurance, combined with the ability to learn new systems quickly and work independently on assigned tasks.

WHAT YOU’LL DO

  • Consolidate and organize legacy contract files for migration into the new CLM system, ensuring documents are accurately categorized, complete, and properly uploaded.
  • Perform quality assurance spot checks on migrated contract data to verify accuracy and completeness within the CLM platform.
  • Train and validate the CLM system's internal AI by reviewing outputs, correcting errors, and flagging inconsistencies to improve machine learning accuracy over time.
  • Assist with implementing the collections Standard Operating Procedure (SOP) by leveraging approved AI tools to organize spreadsheet data and upload it into SunRay, Wells' lien and notice tracking platform.
  • Support the legal team by converting, reviewing, and comparing contract documents to verify that all negotiated changes have been accurately incorporated into final versions.
  • Test the CLM and SunRay platforms to ensure software accuracy, including applicable AI and LLM-supported features, validate and correct outputs, and document and report any issues identified.
  • COI management through applicable system.
  • Corporate licensing and renewals for all legal entities.
  • Compile and organize contract-related data as requested by the Legal Department.
  • Undertake special assignments as required and perform other duties as assigned.
  • Support the Legal Department with training, Scribe recording, and SOPs.

WHO WE’RE LOOKING FOR

The ideal candidate is a highly organized and detail-oriented student or recent graduate with a strong interest in legal operations, contract administration, and technology-driven process improvement. They are comfortable working independently, managing multiple priorities, and analyzing data for accuracy while quickly learning new software platforms and systems. Success in this role requires strong communication skills, proficiency in Microsoft Office applications, and a proactive mindset focused on quality, efficiency, and continuous improvement.

IDEAL CANDIDATE WILL HAVE

  • Currently pursuing or recently completed a Bachelor's degree, Paralegal certificate, or equivalent coursework in a relevant field (e.g., Business, Legal Studies, Information Systems).
  • Self-motivator with strong attention to detail and the ability to work independently with minimal supervision.
  • Strong organizational skills and the ability to manage multiple tasks and priorities effectively.
  • Analytical mindset with the ability to identify data discrepancies, errors, and inconsistencies.
  • Highly proficient in Microsoft Office applications, particularly Excel (sorting, filtering, data entry, and basic formulas) and Word.
  • Ability to learn and use new software platforms and proprietary systems quickly, including document management and contract lifecycle tools.
  • Prior experience with document management systems, data migration, or quality assurance processes preferred.
  • Familiarity with the construction industry or construction-related legal concepts is a plus.
  • Effective written and verbal communication skills.
