POSITION SUMMARY
The Contracts, Compliance & Procurement Coordinator is responsible for coordinating, tracking, and maintaining HANAC's day-to-day administrative, contractual, procurement, and compliance activities under the direction of the Director of Social Service Programs, Grants Administration and Compliance.
The Coordinator works closely with program, finance, purchasing, human resources, and administrative staff to ensure that required documents, reports, registrations, contracts, purchasing activities, and compliance submissions are completed accurately and within established deadlines.

 KEY RESPONSIBILITIES
  • Track contracts, compliance requirements, deadlines, renewals, reports, and registrations.
  • Maintain compliance calendars, contract files, and required records.
  • Assist with government filings, including PASSPort, SAM.gov, JCOPE, vendor questionnaires, and other required systems.
  • Assist with contracts, subcontract agreements, renewals, amendments, and vendor compliance documentation.
  • Support purchasing and procurement activities, including quotes, purchase orders, approvals, and vendor documentation.
  • Prepare and maintain documentation for audits, monitoring visits, and funder reviews.
  • Follow up on missing documentation and outstanding compliance requirements and report significant issues to the Director.
  • The position will also provide coverage for colleagues during vacations and other absences, assist with purchasing and administrative functions, coordinate events as needed, and perform other duties assigned by the Director.
QUALIFICATIONS
  • Bachelor's degree in business, public administration, nonprofit management, or related field preferred; relevant experience may substitute.
  • Experience in contracts, compliance, procurement, administration, or nonprofit/government-funded programs preferred.
  • Experience with PASSPort, SAM.gov, JCOPE, or government procurement systems is a plus.
  • Strong organizational, communication, follow-up, and attention-to-detail skills.
  • Ability to manage multiple deadlines and priorities.
  • Proficiency in Microsoft Word and Excel.
  • Ability to maintain confidentiality and work effectively with staff, vendors, subcontractors, and government agencies.
  • Bilingual Spanish/English is a plus.
SUPERVISIONReports to the Director of Social Service Programs, Grants Administration and Compliance and works independently while keeping the Director informed of deadlines, compliance issues, and outstanding requirements.
OTHER DUTIES
The employee may be assigned additional duties and responsibilities by the Director based on the operational needs of HANAC and the Administration Department.
The position is expected to maintain flexibility and provide coverage for essential administrative functions when other staff members are absent.
