Contract Entry Specialist

Description

We are seeking a Contract Entry Specialist who will be responsible for accurately entering and maintaining job contract information, supporting invoicing and commission verification, and assisting with the creation and management of material and roofer work orders. This role ensures that contract and financial data is accurate, organized, and processed efficiently across CRM and accounting systems.

Key Responsibilities

• Receive job contracts from field locations and accurately enter contract information into CRM and accounting systems.
• Review contracts and supporting documentation for completeness, accuracy, and compliance with established company requirements.
• Verify Sales Representative commissions by comparing commission records against source documents.
• Perform data entry related to contract files, purchase orders, account credits, and other financial or operational records.
• Create, update, and modify material and roofer work orders within the CRM system, including adding additional requests as needed.
• Assist with the collection, organization, and analysis of data and reports as assigned.
• Maintain accurate, organized, and up-to-date records across applicable systems.
• Protect the confidentiality and security of company, customer, and financial information.
• Collaborate with internal departments and field locations to resolve discrepancies and ensure timely processing of contracts and work orders.
• Perform other administrative and operational duties as assigned.

Requirements

Qualifications

• Minimum Qualifications (Knowledge, Skills, and Abilities)
• Previous experience in data entry, contract processing, accounting support, or a related administrative role preferred.
• Proficiency in Google Workspace, QuickBooks, and computerized business systems; ServiceTitan experience is a plus.
• Strong written and verbal communication, problem-solving, and basic math skills.
• Ability to prioritize tasks, meet deadlines, and work both independently and collaboratively.
• Ability to read and interpret insurance scopes; training may be provided.
• Ability to work at a computer and use a telephone for extended periods.
• Ability to maintain confidentiality and handle sensitive information professionally.
• High school diploma or equivalent required.
• Roofing or construction industry experience is a plus.
