Job Summary:


The Contract Administrator works closely with Nextech’s Legal & Finance teams to support the various needs of Sales/ Revenue Operations, Finance, and IT functional groups. The ideal candidate for the Contract Administrator role is extremely organized, detail oriented, a proactive problem solver, and an excellent communicator. This position will be a key member of Nextech’s Legal and Finance team allowing coordination across functional groups in order to execute tasks and streamline contracting with clients. 



Essential Functions

  • Prepare and Populate Contracts: Populate standard form contracts with negotiated commercial terms, ensuring accuracy and completeness by coordinating with Sales, Finance, and Legal teams.
  • Contract Status Tracking: Maintain a comprehensive status log of contracts from the initial request to final execution, providing regular status updates to relevant functional groups as needed.
  • Negotiation Coordination: Organize and prioritize contract negotiations, working closely with in-house Counsel to ensure all contracts are processed efficiently and effectively.
  • Software Contract Management: Oversee the coordination of software contracts by tracking timelines, managing outstanding action items, organizing files for Nextech’s cross-functional team, and preparing necessary transactional documents.
  • Contract Updates and Stakeholder Communication: Update form contracts as directed by in-house counsel and communicate changes to all relevant stakeholders to ensure everyone is informed and aligned.
  • E-Signature Management: Handle e-signature requests across various functional teams, ensuring timely execution and compliance with internal procedures.
  • Legal File Repository Management: Establish and manage a centralized legal file repository, ensuring ease of access and use by all stakeholders.
  • CRM and Reporting: Accurately record contract details in the CRM system to facilitate company-wide tracking and reporting requirements.
  • Contracts Management Platform Maintenance: Oversee the maintenance and continuous improvement of the company’s contracts management platform.
  • Contracting Standards Enforcement: Communicate and enforce contracting standards across the company to ensure compliance with legal and corporate policies.
  • Full Lifecycle Contract Management: Manage the entire lifecycle of contracts, from creation and negotiation through execution, renewal, or termination.
  • Additional Duties: Perform other contract-related tasks as assigned by the Legal and Finance leadership

Required Qualifications:

  • Prior experience in SaaS – software company 
  • 5+ years of equivalent experience 
  • Prior experience in contracts administration 
  • Prior experience working as paralegal 

Preferred Qualifications:

  • Prior experience in healthcare
  • Prior experience working in Salesforce 

Working Environment/Physical Demands

  • Remote Work: The majority of the work will be performed remotely from a home office or other suitable location within the United States. The employee should have a quiet, dedicated workspace with reliable internet access. 
  • Flexible Schedule: The role may require occasional flexibility in working hours to accommodate meetings across different time zones. 
  • Travel: The position requires up to 25% travel for business meetings, conferences, and client visits. Ability to travel by air, rail, or car, and handle associated activities such as carrying luggage, navigating airports, and adjusting to different time zones. 
  • Computer Use: Prolonged periods of sitting and extensive use of a computer, including typing, video conferencing, and other digital communication tools. 
  • Meeting Participation: Occasional standing, walking, and attending in-person meetings during business travel.
