Department OverviewThis role will be working in the North America Proposal Center. Delivering more than 2,500 customer-focused proposals annually, ranging in length from a few pages to multiple volumes, the North America Proposal Center (NAPC) provides proposal management, writing, and multimedia services to Motorola Solutions’ North America Sales teams. We help government, public safety and commercial customers improve their operations by providing solutions and services to increase the effectiveness, efficiency, and safety of their workforce.
Job Description
The Proposal Manager will manage the bid/proposal process from receipt from the customer through submission, negotiation until award of a contract by the customer. Establish virtual cross-functional teams, focused on ensuring the highest quality timely bid response. Organizes bid scrubs, pricing and risk reviews and status meetings, and communicates bid status. Has ownership of the bid plan, timescales and responsibility matrix for a company’s products and/or services. Motivates bid team to ensure optimal performance. Manage the governance process, obtaining the appropriate approvals for bids. May assist in the development of strategies and approaches to take advantage of business opportunities.
Scope Responsibilities/Expectations:
Leads and/or plays an active role in executing quality proposal delivery for proposals in partnership with BD and Capture professionals and SMEs. “Quality Proposal” equates to proposals that meet or exceed guidelines for providing a clear, responsive, persuasive, and compelling proposal to the end customer.
Co-leads proposal kick-off calls and status calls, as well as peer and management reviews.
Reviews proposal specifications to identify unique requirements, prepares for meetings, maintains notes, and ensures roles/responsibilities are communicated.
Develops and disseminates proposal schedules and compliance matrices.
Tracks proposal compliance, evaluates compliance concerns, and escalates non-compliance issues.
Participates in Executive Summary development and/or media storyboarding.
Ensures proposal quality by reviewing proposal from front to back cover to minimize errors and risks.
Manages proposal documents, file sharing, and version control.
Desktop publishes proposals and manages production, adhering to formatting and layout guidelines.
Liaises and produces all printed documentation through outside vendor (Mimeo).
Obtains sign-offs and authorized signatories when necessary.
Evaluates and refines process documentation to ensure training and reference materials are well-structured, accurate, and intelligible.
Ensures on-time delivery/submission.
Archives proposals and project files according to established processes and procedures.
Solicits and reviews survey feedback from internal and external customers.
Specific Knowledge/Skills:
Bachelor's Degree
1+ years experience in one of the following: Proposal Management, Writing or Project Management
Writing skills highly recommended. Professional accreditation preferred.
Proposal Management/Project Management experience required.
Tools/Technologies: Microsoft Office Suite, Google Suite, Adobe Acrobat, SharePoint and Salesforce Production tools (printers, laminators, etc.)
Knowledge: Business and customers. Proposal management and project management practices. Extensive knowledge of short-cut keys. Strong knowledge of proofreading symbols and proposal management best practices, as well as internal support levels for different types of proposals (value, market, solution).
Skills: Good writing, editing, and proofreading skills. Excellent interpersonal skills. Extensive experience coordinating groups both in person and remotely. Skilled at independently managing projects. Active listening, critical thinking, analytical, problem solving, and time management skills. Skilled at building rapport with team members in high-stress environments. Skilled at motivating others to complete tasks. Skilled in handling internal communications related to proposals. Skilled at assimilating information from a variety of sources. Excellent MS Word & PowerPoint skills.
Abilities: Must be able to schedule activities and direct activities of proposal contributors. Able to question customers requirements and practices. Proven ability to develop proposal outlines. Ability to chair kick-off meetings. Able to document & communicate proposal risks. Ability to collaborate and influence others. Able to concurrently manage multiple projects with tight deadlines in high stress environment. Must be able to collate, organize, and assemble proposal material that weigh up to 50 lbs.
