Local Producers (LP) handle logistics related to planning and execution for workshops delivered to ad agency clients of our client. LPs work closely with local market client teams throughout the 8-10 week planning process to secure and train instructors, localize presentation content, schedule workshops and manage all aspects of the project.
PROFESSIONAL REQUIREMENTS:

    1. Native Local language speaker with English proficiency
    2. Must be available for Workshop Dates - TBD (subject to change)
    3. Exceptional communication skills, with extensive experience communicating in local language
    4. Strong performer that takes initiative
    5. Has a proven track record of managing and completing tasks diligently
    6. Highly responsive and organized in ongoing communication with executive-level staff/instructors


PREFERRED EXPERIENCE:

  1. Experience in digital media, entertainment, entrepreneurship, business
  2. Network of relevant industry professionals to help source workshop staff and instructors
  3. Experience planning and executing events from start to finish


RESPONSIBILITIES:

  1. Orientation to program management and process documents
  2. Utilize process documentation according to preset procedures
  3. Attend weekly status meetings with CreatorUp
  4. Attend client meetings
  5. Assist with Staff/Instructor sourcing/recruitment
  6. Management of prospective leads and approvals
  7. Introduce Technical staff candidates to Global Tech Producer
  8. Onboard Instructors (4) & Facilitators (4); Coordinate training with Master Instructor
  9. Assist with scheduling instructor/staff interviews, meetings & training
  10. Handle adding localized case studies, stats and other content assets to presentation deck
  11. Communications with Agency POC as needed
  12. Monitor RSVPs & report to client and agency POCs
  13. Monitor translation of program materials by local client team
  14. Handle purchase and delivery of electronic gift cards to attendee winners
  15. Program Execution and Instructor Coordinator for each ½ day workshop
  16. Document instructional team scheduling and amount of payment due
  17. Post workshop update email after each workshop


Program Planning

  • Orientation to program management and process documents
    • Review all docs and walk through procedures
  • Secure referrals for qualified instructor candidates from business network and other contacts/colleagues, LinkedIn, CreatorUp network
  • Search for 5 qualified instructor candidates
  • Confirm a total of four (4) instructors
    • Translate Instructor Scope and Outreach Email Comms as needed
    • Use project docs to gather profiles and information on candidates
    • Share list of potential instructors with CU once interest and availability is determined for review and approval
    • Screen approved candidates via calls and/or in-person interviews
    • Once approved by CreatorUp, combine top candidates into new doc for client team approval
    • Meet with client POC to review potential instructors
      • Can be done via email
    • Confirm client approval of instructors
    • Send approvals to CU POC so that NDAs and contracts can be sent
    • Introduce approved instructors to Master Instructor for Training
    • Communicate logistical program information to instructors
  • Search for qualified facilitator candidates
  • Confirm a total of four (4) facilitators
  • Translation of program materials
    • Client team is in charge
    • Monitor progress
  • Handle adding of localized case studies, stats and other content assets to presentation deck
    • Client team will provide all assets
  • Orientation for Registration and RSVP monitoring
  • Become familiar with live online delivery platform (BlueJeans)
  • Agency communications as needed
    • Monitor rate of RSVP response and flag for client/Agency if response is low
    • Communicate daily RSVP numbers to client/Agency
  • Coordinate electronic gift cards with client team
    • Determine which company gift card will be for
    • Determine winners of gift card from random selection based on participation during workshop
    • Send gift card to winners
  • Weekly status meetings/updates with CreatorUp and/or client
  • Update project management documents


On-site (Program Day - 3 hours)

  • Instructor Coordinator
    • Monitor arrivals in virtual green room
  • Showrunner of the Program
    • Assist in chat as needed
    • Assist in breakout rooms as needed
    • Keep the program running on time (flow of the day)
    • Communicate program operations and updates in schedule to client staff
    • Send event report after each workshop
      • Make note of issues and challenges
    • Assisting with translating onsite (if necessary)
    • Host back channel text group on WhatsApp for comms during workshop


Post program

  • Document workshop schedule
    • Track which instructors and facilitators work which workshops
    • Track amount of payment due upon completion of workshops
    • Post program debrief meeting with client + CreatorUp
    • Instructor communications:
      • Post-event thank you and follow up + confirmation of invoicing
