The Leasing Operations Specialist – Technical Writer will assist and support the Documentation Supervisor in all aspects of documenting Standard Operating Procedures and help guides. The Technical Writer Specialist will also assist the Leasing Operations team as needed.

A day in the life of a Leasing Operations Specialist:

We are currently looking for a Support professional to join our team. As a Leasing Operations Support Specialist, you will be a critical part of the team which is responsible for providing hands on support for the leasing team and the systems used to manage our homes across 33 branches and over 46,000 properties. As the daily duties can change based on priority, we’re looking for someone who’s passionate about support, and willing to get involved in every piece of the process. This role provides great exposure to a large-scale property management business, and opportunities to grow with the company. 

Essential Duties and Responsibilities:

Learn the technical details of software used by MSR and their clients

-- Produce a wide range of learning collateral – from process flows, templates, how-to guides, FAQs and interactive user guides to more detailed user manuals, tips and tricks and product overviews

-- Partner with various teams to produce comprehensive procedures for leasing and operation tasks

-- Train new hires on the use of the Company’s documentation repository website

-- Set deadlines and obtain required reviews from all involved stakeholders

-- Maintain and communicate status reports and project schedules to meet milestones and product release deadlines

-- Edit and refine submitted processes, and ensure that all documents contain accurate data, timelines and responsibilities

-- Standardize content and release notes across multiple platforms; create templates for internal documentation to establish consistent brand and style

-- Develop a documentation audit and tracking plan

-- Maintain a single-source best practice directory that defines each policy and procedure and directs users to the documentation source

Documentation assistance –

  • Routine audit of each published Leasing, Leasing Operations, HCV, and Property Marketing P&P to ensure that any referenced links are not archived
  • Communication to Policy Tech Manager for any archived links
  • Management of Content Tracking spreadsheet
  • Proof reading assistance to Documentation Supervisor

Additional Responsibilities for Leasing Operations as needed:

  • Lease Integrity Review (LIR) process: review of all leases within 24-48 business hours of move in to ensure that all Investor and MSR criteria has been met both in YARDI and on the lease packages and creation of Lease Documentation work orders for corrections
  • Lease Diligence for Investor reporting: monthly diligence request by Securitizations of a population of leases to be verified as correct and saved to specified Owner folders by SLA
  • Leasing Operations JIRA tickets for system adjustments as needed
  • Manual Verification and Alerts: daily reports to clear flagged Manual Verifications and/or Alerts for applicants which involves both verbal and written communication to request documents and verify information
  • Training in processes as required by Leasing Operations Manager

 

What you'll need to have 

  • BA in English, Communication, Education, Technical Writing

  • 1-2 years of experience writing Standard Operating Procedures or training documents

  • Experience with Yardi, SalesForce preferred

  • Experience with a document repository system

  • Experience with Confluence 

  • Possesses exceptional communication and people skills 

  • Proficient with Microsoft Office, including Outlook, Excel, and Word 

  • Excellent verbal and written communication skills 

  • Possess excellent organizational skills, the ability to prioritize, and be detail oriented.  

  • Ability to set priorities, meet aggressive goals and KPIs, manage multiple tasks and projects efficiently and simultaneously in a fast paced environment with minimal supervision.

The ability to physically perform the following duties for prolonged periods of time is required: Unassisted lifting up to 50 pounds, Bending, Walking, Kneeling, Stretching, Able to work on step ladders or extension ladders up to 30 feet, Able to work in confined spaces, indoors and outdoors in all climates, and unclean environments with fumes, dust and poor ventilation while adhering to company safety requirements and programs, Able to perform all duties in a safe manner at all times 

  • Days of work are Monday through Friday; however, occasional evening and weekend hours may be required as job duties demand.
