JOB SUMMARY

The Conference Services Coordinator provides administrative and operational support to the conference services team at the property, keeping events organized and on track. This role supports event orders, communication, and records, and coordinates details across departments. The Conference Services Coordinator contributes directly to event execution and client service. Working closely with the events team, this position keeps details reliable.

EDUCATION & EXPERIENCE

Required Qualifications

  • Ability to communicate effectively with guests and team members. Language requirements are confirmed by property at the time of posting.
  • Strong organizational, administrative, and computer skills.
  • Attention to detail and accuracy.
  • Physical ability to perform the essential functions of the role, with or without reasonable accommodation.
  • Preferred Qualifications
  • Previous event or administrative experience.
  • Experience with event or banquet systems.
  • Bilingual ability appropriate to the property's guests.

General Requirements

  • Maintain a warm and friendly demeanor at all times.
  • Communicate effectively, verbally and in writing, with all levels of employees and guests in an attentive, friendly, courteous and service-oriented manner.
  • Listen to, understand, and clarify concerns raised by employees and guests.
  • Maintain regular attendance in compliance with department standards, as required by scheduling, which will vary according to the needs of the property.
  • Maintain high standards of personal appearance and grooming, including wearing the required nametag and uniform.
  • Comply with all LionGrove and brand standards, policies, and safety regulations.
  • Attend all required meetings and training sessions.
  • Maintain the confidentiality of guest, employee, and company information.

FUNDAMENTAL REQUIREMENTS

  • Provide administrative support to the conference services team.
  • Assist with banquet event orders, changes, and distribution.
  • Coordinate event details and communication across departments.
  • Maintain accurate records in the event system.
  • Prepare reports, signage, and event materials.
  • Support planning meetings and walk-throughs.
  • Respond to client and internal inquiries promptly.
  • Assist with billing preparation and follow-up.
  • Manage supplies, files, and documentation.
  • Maintain confidentiality of client information.
  • Perform other duties as requested by management.

PHYSICAL REQUIREMENTS

  • Sit and work at a computer for administrative tasks.
  • Move through event spaces to support programs.
  • Occasionally lift and carry up to 20 pounds.
  • Work indoors and outdoors during events with exposure to heat and sun consistent with the property's climate.
  • Long hours sometimes required.
