Position Summary
The Compliance Coordinator plays a critical role in administering and coordinating the pre-employment background check and drug testing processes, ensuring a timely, compliant, and positive candidate experience. Key responsibilities include monitoring background checks and drug tests for completion, coordinating directly with candidates to collect additional information when needed, maintaining accurate records, and serving as a point of contact for candidates during the pre-employment screening phase of the hiring process. Importantly, this role does not make employment eligibility or adjudication decisions related to background checks, drug tests, or other pre-employment screenings. Instead, the coordinator facilitates the screening process and escalates results requiring review to the appropriate team members. The ideal candidates has exceptional attention to detail, strong organizational skills, and the ability to communicate effectively with both candidates and internal team members, while managing multiple priorities in a fast-paced environment.
This is an hourly, non-exempt role.
Responsibilities
- Monitor shared inbox for incoming background check reports, ensuring all are reviewed within 48 hours.
- Review completed background checks and drug tests for discrepancies or compliance issues.
- Correspond with candidates to request additional information and documentation as needed.
- Verify personally identifiable information (PII) for accuracy and completeness.
- Maintain accurate and up-to-date records in shared tracking spreadsheets and in Workday (HRIS).
- Initiate and process additional background check screening packages as needed.
- Assist with rescheduling and troubleshooting drug screens as needed.
- Escalate issues when necessary.
- Collaborate with the talent acquisition team on updates or concerns regarding candidates whose pre-employment screening are delayed, requires additional review, and/or does not meet company standards.
- Generate reports and manage data within Workday (HRIS).
- Ensure adherence to federal, state, and local employment laws related to pre-employment background checks and drug tests.
- Provide other support to the pre-employment screening team as assigned.
Requirements
- Bachelor's degree in human resources, business administration, or a related field (preferred)
- 1–3 years of experience in HR, talent acquisition, or pre-employment screening coordination (preferred)
- Working knowledge of employment laws, drug testing regulations, and background check screening best practices (preferred)
- Experience using Workday (HRIS) is a plus
- Excellent written, verbal, and interpersonal communication skills
- Strong attention to detail, with excellent organizational and time management skills; ability to manage a high volume of tasks while maintaining accuracy and confidentiality.
- Proficient with Microsoft Office Suite (Excel, Word, Outlook, etc.)
