Position Summary:

Under direct supervision, assists in the preparation, review, and administration of subcontracting documentation for a variety of projects. Provides support for specific groups, managers, departments, and/or project teams with all contract administration tasks.

What You Will Do

  • Provide coordination and operational support to Project Management teams and Corporate Departments across all PRIME regions, with a focus on compliance-related activities.
  • Manage shared inbox workflows by triaging and routing communications to ensure efficient handling and timely response.
  • Coordinate subcontract administration processes, including issuance, compliance tracking, follow-ups, logging, and documentation, including but not limited to:
  • Subcontract issuance and associated workflows
  • Monitoring and tracking compliance requirements for subcontractors and sub-tier partners
  • Coordinate scheduling, documentation, and compliance requirements for designated onsite scopes of work.
  • Contribute to and execute special projects, supporting cross-functional initiatives as needed.
  • Ensure accuracy and efficiency in data entry and tracking within Smartsheet and the accounting system (Vista).
  • Maintain organized and accurate documentation by scanning, filing, and indexing records within the digital document system (Vista).
  • Participate in team meetings, one-on-one check-ins, and cross-functional collaboration sessions, providing updates and contributing to team alignment.
  • Follow and uphold the PRIME Safety Program, including all safety regulations, procedures, and best practices.
  • Maintain an active on-site presence to coordinate with project teams, managers, and operational groups.
  • Take on additional responsibilities as needed; duties may evolve based on business needs and growth opportunities.

What You Will Need to Be Successful

  • High school diploma or GED and 1-2 years’ experience in a role focusing on one or more of the following: Contract Administration, Accounts Payable, Accounts Receivable, Sub-Tier Compliance, Site or Project Coordination; or equivalent combination of education and experience.
  • Construction industry experience a plus.
  • Strong communication skills, both written and verbal, with the ability to effectively, professionally, and diplomatically interface at all levels (customers, clients, subcontractors, vendors, peers, field personnel, managers, and executives).
  • Strong attention to detail.
  • Customer-focused with an ability to meet deadlines in a fast-paced environment.
  • Intermediate to advanced Microsoft Office Suite skills.
  • Intermediate to advanced Adobe Acrobat, Blue Beam and Smartsheet skills.
  • Solid organizational, prioritization, and multi-tasking skills.
  • Must possess a sense of urgency while maintaining accuracy.
  • Ability to meet deadlines in a fast-paced environment.
  • Takes initiative to provide support and all necessary follow-ups and follow-throughs to complete the task.
  • Intuitive nature with an emphasis on furthering efficiencies within the department and PRIME.
