Tyson & Mendes seeks a Communications Assistant who will report to the Partner and Head of Communications and work closely with the Communications Counsel.
The Communications Assistant must demonstrate superior organizational skills and attention to detail, high level proficiency in creating PowerPoint decks, and thrive in the management of deadlines and calendars. This position is responsible for managing multiple calendars and databases within the Communications Department, and will shepherd projects, presentations, and other deliverables through from creation to delivery. The Communications Assistant will work closely with the Partner and Head of Communications to prioritize project flow, ensure superior information-sharing within the department, and interface with internal and external clients to facilitate meetings and collaboration. The Communications Assistant must possess polished and clear communication skills and must be very detail-oriented. The Communications Assistant will provide ongoing administrative support to the Partner and Head of Communications, including managing travel and expenses, and will be integral to the department’s success in meeting internal benchmarks and delivering superior work product to internal and external audiences. The Communications Assistant is also responsible for creating and delivering top quality PowerPoint decks that align with and advance brand identity. The Communications Assistant will also work with the Brand Manager to implement social media and email campaigns, and will liaise with other departments as needed.
Who We're Looking For…
The Communications Assistant must be highly organized, self-sufficient, detail-oriented, and most of all, a team player. This candidate must have excellent time management skills and be able to work on multiple projects with concurrent deadlines, and must be comfortable interfacing respectfully and efficiently with roles at all levels of the organization to ensure timelines and goals are met. The Communications Assistant provides support to the Partner and Head of Communications as well as the whole of the Communications Department, and must be able to prioritize workflow, cultivate and support team engagement and communication, and engage creatively with assignments and strategic goals.
Responsibilities
- Identifying and implementing timelines, calendaring, and shepherding legal and non-legal deliverables through to delivery at the direction of the Partner and Head of Communications, including:
- Maintaining ongoing department calendar to track deadlines for presentation proposals, presentation submissions, newsletters, white papers, and other communications projects
- Implementing appropriate timelines for these various deliverables and projects, and adhering to established timelines
- Collaborating with the Client Relations and Education teams on date-setting and related timeline, including coordinating with the Education Compliance Coordinator on all deadlines for CE/CLE submissions for internal and external presentations
- Maintaining signup sheets for firm newsletters, including tracking to ensure all promised articles are received from authors and editors
- Coordinating calls for client-facing and internal presentations
- Maintaining databases of presentation outlines for ease of reference and access
- Ordering, coordinating payment for, and tracking receipt of trial transcripts and/or closing argument transcripts
- Collaborating with the Communications Counsel to ensure accurate and timely updating of the Nuclear Verdicts® Tracker
- Interfacing with new attorneys to assist in the delivery of their firm biographies
- Tracking submission for all articles to external sources, including JDSupra, TIDA, CLM, and other organizations
- Managing the travel calendar for the Partner and Head of Communications, including:
- Prioritizing speaking engagements with direction from the Partner and Head of Communications
- Making travel arrangements using Concur and Lawyers Travel
- Managing expense reports related to travel
- Creating PowerPoint presentation decks, for internal and client-facing presentations, including:
- Ensuring presentations are error-free and adhere to the outline provided
- Using appropriate judgment and creativity to identify and include videos and images to engage, educate, and entertain
- Using appropriate judgment to ensure content is both correct and visually engaging
- Adhering to deadlines
- Ensuring delivery of final presentations
- Attend Interdepartmental Communications, Client Relations and Education team meetings, and other meetings as needed
