Job Description
The Print Procurement Coordinator is responsible for overseeing the procurement of print services and materials and will lead a growing team of print buyers. This role involves sourcing, negotiating, and securing print services and supplies, while ensuring the best possible quality and value for the company. This person will work closely with customers and internal stakeholders, managing their needs and expectations. Agility/flexibility is important. Manages print orders, defines SOPs and ordering rules, provides direction to buyers. Responsible for managing/coordinating special projects to specific deadlines. The ideal candidate will have a strong background in print procurement, excellent negotiation skills, and a thorough understanding of commercial print production processes.

- Vendor Management: Establish, maintain, and grow relationships with print vendors and suppliers. Negotiate contracts and terms to secure favorable pricing, quality, and delivery conditions.
- Team Coordination: Work closely with cross-functional teams, including designers, production staff, procurement, account management and sales representatives to ensure seamless execution and communication.
- Cost Management: Monitor and control print procurement budgets. Analyze cost structures and identify opportunities for cost savings and process improvements.
- Quality Assurance: Ensure that all procured print materials and services meet the company’s quality standards and specifications. Address any quality issues with vendors and implement corrective actions as needed.
- Process Optimization: Streamline procurement processes to improve efficiency, reduce turnaround times, and enhance overall procurement operations.
- Market Research: Stay informed about industry trends, market conditions, and new technologies in print production. Provide recommendations for adopting new methods or materials that can benefit the company.
- Reporting: Prepare and present regular reports on procurement activities, cost savings, vendor performance, and market trends to senior management.
Qualifications
- Associate’s degree in Management, Graphic Design, Marketing, Business Administration, Project Management, or a related field strongly preferred or commensurate education, training, and experience required
- Minimum of 3 years of experience in commercial print production, print buying, or print program management
- High degree of proficiency in Office 365 (Word, Excel, Outlook, and PowerPoint) and proficiency in project management software and tools
- 1 year supervisory experience
- Strong knowledge of print production processes and technologies
- Excellent professional level written and verbal communication skills - ability to interface and communicate effectively with multiple functional groups, geographic regions, different levels of internal and external client organizations
- Excellent interpersonal skills with the ability to elicit cooperation from a wide variety of sources, including upper management, clients, other departments, and interact with various work behavior styles
- Highly self-motivated with ability to manage multiple projects and deadlines within an ever-changing, fast-paced environment
- Must exercise judgment to make high level decisions that will result in a positive impact to the team and company
- Must be detail-oriented with the ability to define problems, collect data, establish facts and draw valid conclusions
- Leadership qualities needed for providing direction, influencing, and motivating others
- Proficient ability to read, write, converse in, and understand
