As an Events Associate in the Events team, you will lead and support the planning and execution of client and internal events from start to finish. You will collaborate with colleagues across business lines and functions, manage budgets, and ensure every event aligns with our strategic goals. You will build relationships with stakeholders at all levels, contribute to a culture of excellence, and help us deliver outstanding experiences for our clients and teams.
Job responsibilities
- Lead event initiatives in the region, partnering with business lines and functions to develop programs aligned to business strategy
- Manage the end-to-end process of event planning, including event briefs, research, approvals, invitee and speaker management, venue setup, event design, onsite support, production management, budget management, and post-event analysis
- Coordinate with external vendors and venues on all event-related matters
- Support franchise sponsorships and cross-business events, ensuring benefits are delivered and events are executed flawlessly
- Track and manage event budgets with a focus on cost efficiency
- Adhere to internal policies and procedures regarding reporting, compliance regulations, approval processes, and documentation
- Maintain the events database, including event metrics, budgets, and collateral
- Build partnerships within the team for coverage on complex conferences and events
- Develop relationships for new projects with other business lines
- Communicate effectively with stakeholders at all levels
- Provide after-hours and regional travel support as required
Required qualifications, capabilities, and skills
- Bachelor's degree in Events, Business Administration, Marketing, Communications, Hotel Management, or a related field
- Minimum 3 years of experience in event planning and management, including end-to-end execution
- Experience managing budgets and reporting on event metrics
- Strong problem-solving, analytical, and project management skills
- Ability to lead and manage multiple events and competing deadlines
- Excellent communication skills
- Proficiency in Microsoft Office, including Word, Excel, and PowerPoint
Preferred qualifications, capabilities, and skills
- Willingness to work after hours and travel within the region
- Proficiency in Mandarin is preferred to support client materials for clients based in Hong Kong, China and Taiwan.
- Demonstrated experience in event planning and virtual event management within the financial services industry, including audio-visual production.
- Strong vendor management and negotiation skills
- Proven ability to build relationships and influence stakeholders at all levels.
- Certification in event management (e.g., Certified Meeting Professional) is a plus
