Job Description:

General Description:

The Clinical Site Payments Manager, Japan, is the country-level subject-matter expert and operational lead for clinical investigator payment activities in Japan. The role is accountable for overseeing and coordinating the end-to-end payment operations across study startup, maintenance, and closeout, with a focus on accurate, timely, compliant, and transparent payments that support a positive site experience and uninterrupted study delivery.

This role provides day-to-day oversight of the Japan payment vendor and partners closely with Japan Clinical Operations, Clinical Site Contracts, Site Budgets, Finance, Accounts Payable, Data/Technology teams, and global Clinical Site Payments leadership. This role establishes clear operating processes, monitors performance and risk, drives issue resolution, and ensures Japan-specific requirements are appropriately reflected in the payment model.

The successful candidate will be self-directed, analytical, and comfortable working in a matrix environment. The role requires strong judgment, disciplined follow-through, effective stakeholder influence, and the ability to use data and technology to strengthen controls, visibility, scalability, and continuous improvement.

Essential Functions:

  • Serve as the primary Clinical Site Payments Manager for Japan, coordinating investigator payment operations across study startup, maintenance, and closeout.
  • Oversee payment vendor performance, including service delivery, reporting, issue resolution, escalations, and action follow-up.
  • Maintain and continuously improve Japan-specific site payment processes as the clinical trial portfolio and business needs evolve.
  • Coordinate payment activities across Clinical Operations, Site Contracts, Site Budgets, Finance, Accounts Payable, Data/Technology teams, and other stakeholders.
  • Oversee payment review and approval workflows, including investigator grants, service fees, pass-through expenses, visit payments, adjustments, and exceptions.
  • Monitor payment timeliness, accuracy, and contractual compliance, proactively addressing risks affecting sites, studies, and closeout.
  • Define and monitor vendor KPIs, including payment cycle time, invoice aging, accuracy, backlog, and issue resolution, and use results to drive improvement.
  • Analyse payment data and trends to identify gaps, recurring issues, root causes, and improvement opportunities.
  • Ensure Japan-specific requirements are incorporated into payment operations, including local tax, invoicing and budget structures, documentation, and site/SMO practices.
  • Partner with Site Contracts and Clinical Operations to resolve payment terms, budget, invoice, contract, and site payment issues.
  • Maintain clear procedures and audit-ready documentation, lead operational meetings and training, and support technology, reporting, and workflow improvements.

Required Qualifications:

  • At least five years of relevant experience in clinical operations, clinical site payments, finance, site contracts, vendor management, biotechnology, pharmaceuticals, or a related field.
  • Experience supporting clinical trial operations, investigator/site payments, site contracts/budgets, or vendor-managed operational processes.
  • Strong coordination, stakeholder management, organisation, prioritisation, and follow-through skills in a cross-functional matrix environment.
  • Strong analytical and problem-solving capability, with the ability to interpret operational and payment data, identify risk and root causes, and develop practical solutions.
  • Ability to work independently, exercise sound judgment, manage competing priorities, and influence outcomes without direct authority.

Supervisory Responsibilities:  

  • This role may provide functional oversight, coaching, and prioritisation support to payment associates or cross-functional contributors supporting Japan site payment activities.
  • Direct people-management responsibilities may be added as the organisation and portfolio grow.

Qualification Required:

Education Required:

Bachelor’s degree from an accredited college or university. At least five years of experience in Japan clinical trial operations, investigator payments, or vendor-managed payments is preferred.

Computer Skills:   

  • Advanced proficiency with Microsoft Office, including Excel, Word, PowerPoint, Outlook, SharePoint, and Teams.
  • Ability to learn and use payment vendor portals, secure file transfer tools, Smartsheet, Power BI, dashboards, and workflow solutions.

Other Qualifications:    

  • Native or fluent Japanese
  • Fluent written and verbal English
