Scope of Work: The Clinic Office Manager is an on-site position, responsible for overseeing the daily administrative and operational functions of SAAF Health Clinic reporting to the Associate Director of Clinical Services. This is full-time, forty (40) hours per week Monday - Friday 8:00 am - 5:00 pm in the office, non-exempt position. Job Duties include but are not limited to:
Functional Responsibilities:

Overseeing day-to-day operations of clinic.

Evaluating staff performance.

Performing bi-weekly one-on-one meetings with staff.

Enforcing office policies and procedures.
-
Maintaining and ordering clinic supply inventory.

Managing staff and clinic schedules.
-
Monitoring clinic documentation, clinic workflow, HIPAA, OSHA, CLIA compliance, and infection control protocols.

Ensuring clinic is following state regulations.

Tracking and following up on referrals.

Coverage of clinic front desk when needed. This will include professionally answering the clinic phone, opening the door and greeting patients, checking patients in and out, scheduling patients, handling paperwork, and otherwise ensuring the timely and accurate processing of patients through their appointments.

Minimum Qualifications:

High school diploma or equivalent.

2+ years of experience working in a clinic setting.

At least 1 year of experience in managing people.

Strong leadership, problem-solving, organizational skills.

Knowledge and experience with electronic health records.

Knowledge of population management, patient re-engagement and accurate record keeping

Understanding electronic health records, clinical documentation, and clinic workflow.

Excellent verbal and written communication skills.
-
Basic knowledge of Microsoft suite.

Correct grammar, spelling skills, and legible writing.
-
CPR/BLS certification required; TB test and proof of vaccination required

Appropriate fingerprint clearance through the Arizona Department of Public Safety (paid for by SAAF if not current).

Must have access to reliable transportation, a valid Arizona driver’s license, insurance and a driving record that will be supported by SAAF’s liability insurance provider.
Preferred Qualifications:
- Experience working in primary care settings.
- 3+ years of leadership in a healthcare setting.
- Bilingual
- Knowledge of medical billing, ICD-10 coding, and revenue cycle.
Working Conditions/Physical Demands:
Operate in a professional office environment and requires the ability to sit for long periods of time with intermittent walking, standing, bending, squatting, pulling, and pushing. Requires the ability to use standard office equipment such as scanners, computers, keyboards, phones, shredders, photocopiers, and filing cabinets. Requires travelling on occasion as needed between SAAF campuses and other locations.
Physical Requirements:
This job is a sedentary job, as defined by the Social Security Administration, CFR.

(a) Sedentary work: Sedentary work involves lifting no more than 10 pounds at a time and occasionally lifting or carrying articles like docket files, ledgers, and small tools. Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties. Jobs are sedentary if walking and standing are required occasionally.

The Southern Arizona AIDS Foundation (SAAF) is a nonprofit organization dedicated to promoting health, well-being, and social justice for those living with HIV, LGBTQ+ individuals, and communities marginalized by society. SAAF provides comprehensive HIV prevention, testing, and care services, along with supportive programs such as case management, housing assistance, food and transportation support, and mental health services across Southern Arizona.
