The Clinic Manager, PMG Clinical Support Hub, is responsible for the operational leadership, coordination, and performance management of centralized clinical support services across Providence Medical Group (PMG) ambulatory practices. This role oversees the daily functions of the Clinical Support Hub, ensuring high-quality support for patient access, referral management, prior authorizations, care coordination, inbox management, and other centralized clinical workflows.
The Clinic Manager provides leadership to Clinical Support Hub caregivers, promotes service excellence, drives operational efficiencies, and collaborates closely with clinic leadership, providers, and operational partners to ensure timely and effective support for PMG practices. This position serves as a key leader in advancing standardized workflows, improving patient and provider experience, and achieving organizational performance goals.
Coordinate and manage clinic service activities and staff to achieve continuous and optimal patient care. Oversee operational aspects of provider practice to ensure clinical quality and financial viability. Responsible for day-to-day operations of clinic practice with 2 or more disparate specialties, typically in different locations and greater than 20 FTE staff FTEs. Responsibilities:

Operational Leadership

  • Provide oversight of daily Clinical Support Hub operations, ensuring efficient workflow management and service delivery.
  • Monitor performance metrics and operational dashboards to ensure established service levels and productivity targets are met.
  • Identify operational challenges and implement process improvements to enhance efficiency, quality, and customer satisfaction.
  • Develop, implement, and maintain standardized policies, procedures, and workflows across supported services.
  • Ensure appropriate staffing levels and workload distribution to meet service demands.
Team Leadership and Development
  • Directly supervise Clinical Support Hub caregivers and supervisors, as assigned.
  • Recruit, hire, onboard, coach, and develop team members.
  • Conduct performance evaluations and provide ongoing feedback to support professional growth and accountability.
  • Foster a culture of collaboration, engagement, innovation, and continuous improvement.
  • Manage employee relations issues in partnership with Human Resources.
Clinical Support Operations
  • Oversee centralized support functions, which may include:
    • Patient communication and message management
    • Referral coordination
    • Prior authorization processing
    • Medication refill workflows
    • Care team support functions
    • Patient scheduling support
    • EHR work queue management
    • Population health and care gap initiatives
  • Ensure timely completion of assigned work and adherence to established service standards.
  • Maintain a high level of customer service for patients, providers, and clinic caregivers.
Provider and Clinic Partnership
  • Collaborate with PMG clinic leaders, physicians, advanced practice providers, and operational departments to optimize support services.
  • Serve as a key contact for escalated operational concerns and workflow issues.
  • Build strong relationships with practice leaders to ensure alignment between hub operations and clinic needs.
  • Support change management initiatives and implementation of new programs, technologies, and workflows.
Quality, Compliance, and Performance Improvement
  • Ensure compliance with organizational policies, regulatory requirements, HIPAA standards, and patient confidentiality practices.
  • Monitor quality indicators and implement corrective actions when necessary.
  • Lead continuous improvement initiatives utilizing data and performance metrics.
  • Participate in audits, regulatory reviews, and quality improvement activities.
  • Support organizational patient safety and quality objectives.

Qualifications:

Bachelors degree in nursing, business administration, or related field required. Six (6) years experience in lieu of degree requirement.
*Four (4) years of relevant experience required.
