Overview:
As the first face and voice of Pape-Dawson Engineers, the Client Relations Specialist serves as a true brand ambassador—creating a welcoming and professional environment for clients, guests, and team members alike. This highly visible role is essential to delivering a positive first impression and upholding the company’s reputation for excellence and respect.
Responsibilities:
Serve as the primary point of contact for visitors, clients, vendors, and employees by providing professional reception and front desk support.
Manage the flow of visitors, deliveries, and office traffic by greeting guests, directing individuals to the appropriate contacts, and ensuring established security and visitor procedures are followed.
Coordinate incoming and outgoing mail, packages, shipping, and receiving while maintaining accurate tracking and communication.
Coordinate conference rooms and shared resources, including reservations, calendars, room setup, audiovisual needs, and hospitality.
Support business operations by coordinating travel arrangements, registrations, scheduling, and other administrative needs.
Support building operations by submitting and monitoring facility service requests and coordinating with property management, service providers, and vendors to ensure timely resolution of facility-related needs.
Manage office supplies, inventory, equipment, and shared resources by procuring, stocking, organizing, and maintaining common areas, breakrooms, printers, and other shared spaces to ensure the office remains clean, functional, and ready for employee use.
Provide administrative support and assist with special projects as needed.
Perform other duties and responsibilities as assigned.
Qualifications:
Minimum of 3 years of experience in a front office or client-facing administrative role.
Experience answering and routing calls .
Strong organizational and time‑management skills.
Polished, professional demeanor with excellent communication skills.
Proficiency in Microsoft Outlook, Excel, and Word.
Ability to multitask and prioritize in a fast‑paced environment.
Reliable, detail‑oriented, and proactive approach to work.
Availability to work Monday through Friday, 8am - 5pm.
Preferred Qualifications
Prior administrative or office support experience
Experience in a corporate or professional office setting
