As we scale our impact, we're looking for a dynamic Client Onboarding & Implementation Specialist who can own the end-to-end onboarding experience for new clients, serving as the primary point of contact from signed contract through go-live. As Client Onboarding & Implementation Specialist, you'll lead client onboarding project management while bringing enough CRM architecture knowledge to navigate how our AI agent connects into each client's CRM environment—assessing client systems, mapping how leads, appointments, and agent attribution should flow, and translating that into clear technical requirements for our engineering team and the client's technical contacts. This role sits at the intersection of project management, technical coordination, and relationship building.
What You'll Do
- Lead client onboarding from pre-kickoff through launch, managing timelines, deliverables, and stakeholder communication.
- Build and maintain project plans, track milestones, flag risks, and keep internal teams aligned.
- Conduct kickoff calls, discovery and training sessions, and check-ins with client stakeholders, including non-technical decision makers.
- Partner with Account Management and the Engineering team to ensure smooth handoffs and accurate client expectations.
- Assess each client's CRM environment and document how leads, appointments, and agent attribution should flow end to end.
- Translate client requirements and CRM realities into clear technical requirements for engineering and for client technical contacts.
- Coordinate and validate API based lead delivery during launch, confirming data lands accurately in the client's CRM or designated destination.
- Troubleshoot and escalate integration issues with full context, partnering with engineering on the build.
- Contribute to the implementation playbook, onboarding workflows, and standardized integration templates.
Required Qualifications
- 5 to 6 years of experience in implementation, onboarding, customer success, or technical project management, ideally at a SaaS, tech, or technical consulting company.
- Working knowledge of CRM architecture: lead objects, workflows, automation rules, and how data flows between systems.
- Exposure to multiple CRM platforms and the ability to learn new ones quickly. Comfortable discussing API based integrations at a requirements level with technical and non-technical stakeholders.
- Able to translate between business needs, client technical contacts, and an internal engineering team.
- Strong project management skills: comfortable owning multiple concurrent onboardings without dropping the ball.
- Proficiency with Google Workspace (Docs, Sheets, Drive, Gmail, NotebookLM), Confluence, and Slack.
- Experience using project management tools (Zoho Projects, Linear, or equivalent).
- Not Required: This is not an engineering or CRM role. You will define and validate technical requirements.
- Experience with AI-powered sales tools or conversational AI platforms.
- Background working with specialty dealerships (e.g., RV, equipment), non-hospital healthcare practices, or other specialized industries where shopping often takes place online but purchases happen in a physical location.
- Familiarity with sales lead flow and marketing attribution concepts.
- Basic SQL or data validation experience.
- Clear, confident communicator: able to manage client expectations, deliver hard news professionally, and build trust quickly.
- Thrives in a fast-paced startup environment: problem-solves independently and knows when to escalate versus push forward.
- Detail-oriented with a bias for documentation and process.
- Shadow and then independently manage 2 to 3 client onboardings from kickoff through launch.
- Fully own project tracking in Zoho Projects with no missed milestones.
- Independently produce clear technical requirements for the agent and attribution integration.
- Build relationships with key internal stakeholders across Account Management, Engineering, and Product.
- Contribute at least one documented improvement to the implementation process.
- Base: $70,000 to $85,000
