About the Role

We're a property management company part of a larger group, managing a growing portfolio of residential blocks on behalf of freeholders and RMC/RTM boards. Every leaseholder in that portfolio is relying on their service charge being handled properly - accurate, reconciled, and defensible if anyone ever asks. We need someone who owns that end to end for their portfolio, not someone who processes what's put in front of them.

This is a hands-on, do-the-work role. Not a back-office data-entry function. You'll be the person colleagues - and our clients - trust to get their money right.

What You'll Be Doing

  • Provide day-to-day supervision and support for other members of the finance team working on your portfolio, including arranging and delivering training as needed to build their capability

  • Prepare year-end service charge accounts for your portfolio, in line with lease terms and the RICS Service Charge Residential Management Code

  • Reconcile service charge bank accounts, sinking/reserve funds and client money balances on a regular basis

  • Process and code invoices, allocate costs to the correct schedule or block, and keep budget vs. actual on track

  • Run supplier payments, making sure invoices are approved, correctly coded and paid in line with client funds and payment run deadlines

  • Prepare and issue service charge budgets and demands to leaseholders, on time and in line with statutory timescales

  • Own credit control for your portfolio - monitor arrears, chase reminders and demands, and escalate unresolved cases to debt recovery or solicitors when it's needed

  • Handle queries from leaseholders, RMC/RTM directors, freeholders, property managers and auditors directly, without passing them upstream unnecessarily

  • Support the year-end audit and accountant's certificate process, providing schedules and resolving queries as they come up

  • Make sure Section 20 consultation requirements are met wherever costs affect service charge demands

  • Keep client money records accurate and compliant with client money protection requirements

  • Spot discrepancies in service charge accounts and sort them - escalating only the material ones

  • Support onboarding of newly managed blocks, including opening balance reconciliations

  • Help improve service charge processes and controls as the group centralises

  • systems across brands

  • Act as the primary financial liaison to block management insurance brokers, overseeing the seamless processing of policy schedules, insurance fund administration, and claim payment allocations.

Who We're Looking For

  • Experience in service charge accounting within UK leasehold block or property management, or a comparable client accounting environment

  • Working knowledge of the RICS Service Charge Residential Management Code and relevant leasehold legislation - Landlord and Tenant Act 1985, Commonhold and Leasehold Reform Act 2002

  • Strong reconciliation and double-entry bookkeeping skills, with real attention to detail

  • Proficient in Excel; experience with block management accounting software - Blockman preferred, but Qube, TRAMPS or PropMan experience is welcome and transferable

  • Clear communicator who can explain financial information to non-finance stakeholders - leaseholders and RMC/RTM directors - without losing the substance

  • Able to manage a busy caseload and hit statutory and contractual deadlines without things slipping

Desirable:

  • AAT qualified or part-qualified (ACCA/CIMA/ACA), or qualified by experience

  • Experience working across multiple property management brands or client portfolios

  • Familiarity with client money protection schemes (RICS, Propertymark) and audit requirements
