Position Summary
The Claims Administrative Support Specialist provides administrative and operational support to the Claims Department and field adjusting teams. This position plays an important role in keeping claims moving efficiently by completing claim-related tasks, communicating with adjusters and policyholders, maintaining accurate claim information, and supporting daily and catastrophe operations.
This is a fast-paced, task-driven position that requires strong attention to detail, excellent communication skills, and the ability to manage changing priorities and increased workloads during severe weather and catastrophe events.
Job Responsibilities
- Provide daily administrative support to Claims Operations, including field and desk adjusting teams.
- Complete claim-related administrative tasks accurately and within established timeframes.
- Make outbound and receive inbound calls to policyholders, adjusters, and other parties as needed.
- Enter, update, and maintain accurate claim information within company systems.
- Monitor and complete assigned tasks, activities, and follow-up items.
- Assist with obtaining and uploading claim documentation, prior-loss information, reports, photos, and other required documentation.
- Support adjusters with administrative needs so they can remain focused on inspecting and handling claims.
- Generate and maintain reports and spreadsheets using Microsoft Excel and other company systems.
- Respond to questions and requests from adjusters, management, and other departments in a timely and professional manner.
- Assist with high-volume claim activity and catastrophe deployments as needed.
- Quickly learn and adapt to new carrier requirements, processes, technology, and workflow changes.
- Maintain professional communication by phone, email, and internal messaging systems.
- Prioritize multiple tasks and deadlines while maintaining accuracy and attention to detail.
- Work collaboratively with Dispatch, Claims Management, Field Operations, QA, Licensing, and other departments as needed.
- Identify issues or delays and escalate them to the appropriate team or manager.
- Contribute to overall team performance by assisting with additional claim-related responsibilities as business needs change.
Minimum Requirements
- High School Diploma or GED required.
- Previous administrative, customer service, insurance, or claims-related experience preferred.
- Strong computer skills, including Microsoft Outlook and Excel.
- Ability to learn and work efficiently within multiple software systems.
- Strong written and verbal communication skills.
- Excellent organizational and time-management skills.
- Strong attention to detail and commitment to accuracy.
- Ability to manage multiple tasks and priorities simultaneously.
- Comfortable making and receiving a high volume of phone calls when needed.
- Ability to work independently while also contributing to a team environment.
- Ability to follow established processes while adapting quickly when procedures or priorities change.
- Comfortable working with routine and repetitive tasks while maintaining accuracy and productivity.
- Ability to work effectively in a fast-paced environment where claim volume can change quickly.
- Professional, dependable, responsive, and willing to take ownership of assigned responsibilities.
Work Environment
This position is based in our San Antonio office. Claim volume may fluctuate significantly due to severe weather and catastrophe events. Team members must be comfortable adjusting priorities and workload to support the needs of the Claims Department during periods of increased activity.
