About Reinforce Labs:
Reinforce Labs is at the forefront of AI-driven safety solutions. We’re an early-stage B2B SaaS company building AI-powered products for enterprise teams. We empower our customers to build safer products by leveraging cutting-edge AI technology. Our innovative platform detects and mitigates a wide range of AI adoption risks across safety, security and compliance.
Role Overview:
We are hiring an ops-heavy Chief of Staff to work directly with the CEO and serve as a force multiplier across company operations and strategic execution. This role owns the operational backbone of the company — people, finance, vendors, and internal processes — while also contributing to company-level strategy, partnerships, and investor engagement.
This is a hands-on role for someone who enjoys building structure from scratch, operating in ambiguity, and helping an early-stage company scale responsibly. A key objective of this role is helping prepare the company for Series A readiness by the end of the year.
Core Responsibilities
Company Operations & Administration
Own day-to-day operational functions including legal coordination, payroll, benefits, and insurance management
Fully support HR operations end-to-end from onboarding, to equipment management to offboarding
Manage relationships with external providers (legal counsel, accountants, payroll, insurance brokers)
Ensure compliance across employment, tax, and corporate requirements
Build lightweight but scalable internal processes and documentation. Assist with creating and organizing artifacts (decks, docs, etc) for smooth ongoing internal communications
Finance & Accounting Support
Manage vendor onboarding, contracts, invoicing, and payments
Track expenses and support budgeting and cash-flow visibility
Coordinate with external accountants on taxes, filings, and R&D / research tax credits
Support financial hygiene needed for diligence and fundraising readiness
Stakeholder & CEO Support
Support investor relations logistics, including data room preparation, updates, and meeting coordination
Assist with customer, partner, and board communications as needed
Act as a trusted extension of the CEO for follow-ups, coordination, and execution
Cross-Functional & Ad-Hoc Execution
Provide operational and analytical support across marketing, sales, product, and operations
Be a force multiplier for hiring needs, including resume screens, first round interviews, and lead generation
Drive cross-functional initiatives to completion by managing timelines, owners, and execution
Take ownership of special projects that cut across teams
Strategic & Growth-Oriented Responsibilities
(Scope scales with experience and company needs)
Investor Engagement & Fundraising Support
Help identify, track, and engage potential investors
Support outbound investor interest through research, outreach coordination, and follow-ups
Prepare strategic narratives, materials, and data needed for fundraising conversations
Strategic Enterprise Partnerships
Assist in identifying and developing strategic enterprise partnerships with large companies
Support partnership discussions, coordination, and execution (non-sales)
Help structure and operationalize partnerships once agreed upon
Company Strategy & CEO Partnership
Act as a thought partner to the CEO on strategic direction, prioritization, and trade-offs
Support market analysis, competitive research, and strategic planning
Translate high-level strategy into concrete plans and execution across teams
Series A Readiness
Establish operational, financial, and organizational rigor expected by Series A investors
Prepare core diligence materials (financials, contracts, cap table coordination, policies)
Improve internal reporting, metrics, and operational visibility
Ensure the company presents as organized, credible, and execution-driven to external stakeholders
Qualifications
4–8+ years of experience in operations, business operations, consulting, finance, strategy, product, or similar generalist roles
Strong operational instincts with the ability to zoom out strategically when needed
Comfortable handling sensitive information with discretion
Highly organized, proactive, and execution-oriented
Startup or high-growth environment experience strongly preferred
What Success Looks Like
The CEO gains leverage across both execution and decision-making
Core operations run smoothly without constant CEO involvement
Strategic initiatives move forward with clarity and momentum
The company is operationally and strategically ready for Series A fundraising
