POSITION DESCRIPTION

Position: Certification Coordinator

Reports to: Senior Certification Manager

As a member of the PMG team, performance includes demonstration of the following accountabilities: communication, teamwork and job knowledge.

The position performs administrative duties necessary to provide certification services to professional societies managed by Parthenon Management Group. The Certification Coordinator is the primary point of contact for member and Customer communication regarding certification and credentialing.

PRIMARY DUTIES AND RESPONSIBILITIES, include the following but are not limited to:

Certification

  • Serve as primary point of contact for member and customer communication for daily email and phone calls by exam candidates, prospects, members, Certification Chairs, and Certification Committee meetings. 
  • Perform weekly uploads of new exam applications and recertification renewals. Review documents to ensure applications and renewals are eligible to sit for an exam or recertify. If approved, save all corresponding documents and spreadsheets in appropriate folders. 
  • Oversee the certification renewal process, timelines, and data management. If any files above are not able to be approved, correspond with applicant (new or recertification) to obtain missing documents or communicate why they are not approved. Involve the Certification Manager as needed. 
  • Print and mail certificates to newly certified or recertified certificants.
  • Maintain and respond to emails that come into the certification inbox and respond to messages as required. Assist members as needed with their general questions or issues.
  • Understand and utilize test vendor software.   
  • Participate as needed with website maintenance and ensure website information is current and accurate.
  •  Maintain confidentiality and integrity of exams, scores, data management, policies, website accuracy, and correspondence.
  • Support certification and volunteer communications and timelines. Implement program growth strategies as directed by Senior Certification Manager.
  •  Manage registration process and collaborate FAQ communication points with Member Services. 
  • Assist with the production of examinations and candidate handbooks.
  • Maintain statistics and databases on participation in certification programs. 
  • Develop and implement strategies to recognize newly certified individuals as well as those renewed – i.e. digital badging programs.
  • Candidate Applications: Oversee the receipt, evaluation, and monitoring of examination accommodations. Coordinator from the Certification Manager. 
  • Other duties as assigned.

WORK ENVIRONMENT

Position is in an office setting that involves everyday risks or discomforts requiring normal safety precautions. On occasion, the individual must be able to do moderately demanding physical activity such as handling and opening boxes weighing 35-40 pounds, standing and walking extensively throughout the day.

Requirements

EDUCATION AND/OR EXPERIENCE

  • Associates or Bachelor's degree in education, human resource development, business, communications, nonprofit management or related field. 
  • Minimum two years of preferred experience in the following areas: 
  • Coordinating learning/certification/professional development programs 
  • Coordinating detailed documents and exam candidate or learner communications 
  • Developing and maintaining statistical records
  • Working in an association or not-for-profit environment
  • Monitoring program budgets 

Required Knowledge/Skills/Abilities

  • Ability to analyze problems and provide solutions 
  • Ability to communicate ideas effectively in speech and writing
  • Ability to manage time and multiple tasks for effective job execution 
  • Computer literate (MS Office Suite, database management, Skype, Zoom, LMS) 
  • Ability to work in a flexible and remote productive work environment
  • Excellent interpersonal, phone, and presentation skills 
  • Able and willing to travel, including weekends
  • Ability to perform moderately strenuous activities including but not limited to sustained activities (continual bending, stooping, typing, exhibit booth staffing) and lifting & moving packages (exhibition display cases, printed material boxes, Fed Ex, bundles of mail, copy paper, etc.)

Skills Required

  • Associate or bachelor's degree in education, human resource development, business, communications, nonprofit management, or a related field
  • At least two years of experience coordinating learning, certification, or professional development programs
  • Experience coordinating detailed documents and exam candidate or learner communications
  • Experience developing and maintaining statistical records
  • Experience working in an association or nonprofit environment
  • Experience monitoring program budgets
  • Ability to analyze problems and provide solutions
  • Effective verbal and written communication skills
  • Ability to manage time and multiple tasks effectively
  • Computer literacy, including MS Office Suite, database management, Skype, Zoom, and LMS tools
  • Ability to work productively in flexible and remote work environments
  • Excellent interpersonal, phone, and presentation skills
  • Willingness and ability to travel, including weekends
  • Ability to perform moderately strenuous activities, including bending, stooping, typing, exhibit booth staffing, and lifting or moving packages
