Exotic Colors is hiring a CEO Office Coordinator to support the CEO directly.
The CEO leads most operational matters personally. The right candidate will work as a reliable second pair of hands focused on follow-up, coordination, and communication, helping the CEO stay organized and lighten the daily load.
This is not a decision-making or representative role. External representation with banks and government bodies is handled by the company's PRO. Operations are handled by the existing Operations Manager.
Work Location:
- On-site at the company's main headquarters in Abu Dhabi.
- No remote or hybrid arrangement.
Work Schedule:
- 6 days per week (Monday to Saturday).
- Working hours: 9:00 AM to 6:00 PM.
- 1-hour lunch break.
- Friday is the weekly off day.
Nature of Work:
- Office-based role working closely with the CEO.
- Fast-paced environment requiring focus and quick response.
- Continuous coordination with internal departments.
- Daily handling of emails, scheduling, and follow-up.
Key Responsibilities:
- Track the CEO's daily tasks, requests, and priorities, and follow up until completion.
- Manage and organize the CEO's emails and incoming correspondence.
- Coordinate communication between the CEO and internal departments.
- Schedule meetings, prepare meeting notes, and follow up on action items.
- Maintain organized records, files, and reports for quick CEO access.
- Manage the CEO's calendar, appointments, and reminders.
- Handle internal communication on behalf of the CEO when instructed.
- Reduce administrative load on the CEO by handling routine coordination tasks.

Requirements
Personality and Character:
- Highly organized, disciplined, and detail-oriented.
- Trustworthy and discreet with confidential information.
- Proactive follow-up mindset. Nothing is forgotten or delayed.
- Comfortable working under direct CEO supervision.
- Strong work ethic and reliability.
Languages:
- Strong command of English (written and spoken) is required.
- Arabic (written and spoken) is highly preferred.
Skills and Knowledge:
- Strong email and calendar management skills.
- Mastery of Microsoft Office (Outlook, Word, Excel).
- Comfortable with modern productivity and scheduling tools.
- Clear and professional communicator.
Other Requirements:
- Valid UAE driving license is preferred.
- Willingness to commit to a 6-day work schedule.
- Available to start immediately or within short notice.
Experience:
- 1 to 3 years in administrative coordination, executive support, or office assistant roles.
- Industry background is not a priority. Reliability and execution are.
