About the Role
A Case Manager Assistant supports the case management team in coordinating and maintaining personal injury cases from the time a client is retained through the progression of their claim. This role requires strong organizational skills, attention to detail, effective communication, and the ability to manage multiple priorities while providing exceptional client service.
The Case Manager Assistant is responsible for assisting with client communication, medical treatment coordination, records and bill requests, insurance information, case documentation, and other administrative tasks necessary to keep cases organized and moving forward. The ideal candidate is proactive, dependable, detail-oriented, and comfortable working in a fast-paced law firm environment.
What You Will Do
- Assist Case Managers with the day-to-day management and coordination of personal injury cases
- Follow up with medical providers regarding outstanding medical records, bills, and other documentation
- Request, obtain, organize, and maintain medical records and billing documentation
- Review incoming records and bills for completeness and route information to the appropriate Case Manager or team member
- Assist with gathering and maintaining insurance information, claim information, and other relevant case documentation
- Accurately update client and case information in the firm’s case management system
- Maintain organized and up-to-date electronic and physical case files
- Track outstanding case tasks, requests, records, bills, and other documentation to ensure timely follow-up
- Assist Case Managers with preparing routine correspondence, forms, and other case-related documents
- Communicate and coordinate with medical providers, insurance companies, clients, attorneys, and other parties as directed
- Follow up on outstanding requests and communicate unresolved issues to the appropriate Case Manager
- Assist with preparing case files and documentation for attorney review and other stages of the case
- Maintain confidentiality of client and firm information
- Provide consistent and exceptional customer service throughout the life of the client’s case
- Follow established case management procedures and firm policies
- Meet established department goals and performance standards
- Other duties as assigned

- Strong judgment, common sense, and problem-solving skills
- Ability to maintain strict confidentiality regarding client and firm matters
- Proficiency with Microsoft Office Suite and computer-based systems
- Ability to learn and effectively utilize the firm’s case management system
- Previous personal injury or law firm experience is preferred
- Previous case management, medical office, insurance, or customer service experience is preferred
- Bilingual Spanish is a plus
- Current Nevada Notary Public commission is a plus
Working Conditions and Physical Requirements
- This role operates in a professional, climate-controlled office with moderate noise and frequent interaction with clients and team members. Must maintain strict confidentiality regarding all firm and client matters.
- High-pressure, fast-paced environment requiring the ability to manage a high volume of calls while maintaining professionalism, accuracy, and exceptional customer service.
- Standard work weeks require a minimum of 40 hours, with occasional evening or weekend work required based on client needs and business demands.
- Must be able to remain in a stationary position (sitting or standing) for 80% or more of the workday.
- Constantly operates a computer, telephone, headset, and other office equipment.
- Frequently exchanges information in person, via telephone, email, or other approved digital platforms with prospective clients and team members.
- Prolonged screen and telephone use.
