The Case Manager Assistant provides administrative and case management support throughout the client’s personal injury case. This role is responsible for coordinating medical treatment, communicating with medical providers and clients, following up on medical records and billing, and assisting with insurance and property damage claims. The Case Manager Assistant ensures case information is accurate, organized, and up to date in Filevine.
Responsibilities:Assist with the day-to-day management and coordination of client cases.
Coordinate medical treatment and communicate with medical providers regarding appointments and treatment progress.
Follow up on outstanding medical records, bills, and other case-related documentation.
Communicate with clients regarding their medical treatment, appointments, and case updates.
Assist with insurance documentation and follow up on insurance-related matters.
Assist with managing and coordinating property damage claims.
Monitor client treatment progress and ensure relevant updates are documented.
Maintain accurate and up-to-date case information in Filevine.
Upload and organize case documents, medical records, bills, and other relevant information.
Communicate effectively with clients, medical providers, insurance companies, and internal team members.
Use RingCentral and Outlook for daily communication and case coordination.
Use Surfshark when required to ensure secure remote access.
Follow up on pending tasks and documentation to ensure cases remain organized and progress efficiently.
Support Case Managers and attorneys with administrative and case-related tasks as needed.
Bachelor’s degree in a related field or equivalent experience.
Previous experience as a Case Manager Assistant, Legal Assistant, Case Manager, Medical Records Specialist, or similar role is a plus.
Experience working with Personal Injury (PI) law firms is highly preferred.
Familiarity with medical treatment coordination, medical records, and billing.
Basic understanding of insurance claims and property damage processes.
Strong organizational and follow-up skills.
Excellent attention to detail and ability to manage multiple cases simultaneously.
Strong written and verbal English communication skills.
Experience with case management software; Filevine experience is preferred.
Comfortable communicating with clients, medical providers, and internal teams.
Proficiency with communication tools such as RingCentral and Outlook.
Ability to work independently, prioritize tasks, and meet deadlines.
