Boeing Global Enterprise Services (BGES) has an exciting opportunity for a Business Support & Workplace Operations Specialist, providing excellent learning opportunity at local, regional and global level.
This role is based in Jakarta, Indonesia. The role requires working from the office on daily basis. This position will focus on regional & global continuous process improvements initiatives, sustainability initiatives, data analysis, internal & external reporting, project management and support BGES office operations.
This position will be hired on a 1 year fixed term contract, the extension will be subjected to business's decision.
Responsibilities:
- Perform Front-of-house duties and conduct daily Office Walkthroughs to ensure workplace standards, safety and functionality are maintained.
- Support day-to-day office administration including visitor management, meeting room scheduling, office supplies & deliveries management, mail distribution & courier services, invoices processing to ensure smooth workplace operations.
- Assist in coordinating facilities-related activities, including vendor liaison, maintenance scheduling, and follow up on repair works to ensure timely resolution.
- Support the planning and execution of Office Events, internal meetings and engagements, including logistical coordination and onsite arrangements as assigned.
- Maintain and update simple tracking tables in Excel (e.g., headcount, office expenses) and the email distribution list.
- Provides cross-coverage to ensure continuity of workplace operations during team members leave or peak periods.
- Support BGES Manager with administrative and coordination tasks as required.
- Assist with basic documentation and PowerPoint presentations or reporting needs.
- Ad-hoc duties as assigned.
Basic Qualifications:
- Diploma holder.
- 1-2 years of experience in office administration, facilities project management, office operations and compliance, visitor and event support, and stakeholder management.
- Experience in vendor management.
- Proficiency in Microsoft Office applications, including Excel, PowerPoint, Word, and SharePoint.
- Strong English language skills, both written and spoken.
- Excellent communication and interpersonal skills.
- Strong team player with a collaborative mindset.
Preferred Qualifications:
- Self-starter with a positive attitude, high ethics and able to work under pressure in a time-constrained environment.
- Methodical and thorough with a focus on detail and completion of tasks.
