Job Description

  • Qualifications and Experience requirements:

  • Post-matric qualification preferable
  • 3-5 years proven, relevant track record in a business support role
  • In-depth knowledge of Word, Excel and Powerpoint. Experience with data analysis and reporting tools an advantage.
  • Strong ability to lead with influence across cross-functional teams without direct reporting lines.
  • Excellent analytical and problem-solving abilities, with a data-driven approach.
  • Strong project management skills, with the ability to manage multiple initiatives and meet deadlines.
  • Experience in operating in an Agile environment an advantage.
  • Exceptional verbal and written communication/presentation skills, with the ability to articulate complex concepts to diverse stakeholders.

This role provides ongoing multi-faceted business support to Business Owners, the Exco team and the Operations Journey Owner. The incumbent is individually accountable for achieving results through own efforts in collaboration with cross-functional teams.

Job Description

Reporting and Analysis:

  • Compile monthly, quarterly and ad hoc business unit reports and track key metrics. These reports are required for Exco’s, Manco’s etc.
  • Co-ordinate on-time quality submission of portfolio-level reports and dashboards.
  • Ensure maintenance of metrics/KPI reporting frameworks (metrics definition, data sources, target cascade from business planning, sensitivity analysis).
  • Ensure compliance with reporting timelines and follow up on outstanding reports/multiple report iterations.
  • Support the Operations journey owner with annual set-up and maintenance of the reporting calendar and channels.
  • Verify accuracy and content of submissions, and address any inconsistencies.
  • Support the Operations journey owner in meeting Market Conduct reporting requirements.
  • Co-ordinate reports/papers/submissions required for next level Exco’s and/or Board.
  • Collate information for business plan submissions.

Research and Presentation:

  • Conduct ad hoc research for business owners
  • Compile presentations to facilitate understanding of strategy and progress.

Stakeholder and Vendor Governance:

  • Set agendas and take minutes for EXCO and senior management meetings, including vendor governance forums.
  • Compile an action log; Follow up on action items from meetings and report on outcomes.
  • Organise and administer meetings
  • Prepare pre-reading packs
  • Compile and maintain Terms of Reference for meetings/forums.
  • Develop and maintain the annual calendar of business events, Agile events, stakeholder management/governance forums and reporting.
  • Maintain the portfolio’s governance framework in collaboration with the Operations journey owner
  • In collaboration with the Operations journey owner, maintain Vendor governance processes and practices in compliance with Old Mutual vendor management policies.
  • Execute on vendor performance management processes in collaboration with business/relationship owners.
  • Manage risks associated with vendors in collaboration with business/relationship owners and the Risk team.
  • Compile audit-ready vendor performance management documentation.
  • Compile pre-reading/vendor updates for Vendor Governance Committee meetings in line with Governance frameworks.

Relationship Management:

  • Build and maintain relationships with Exco, business owners and senior management.
  • Build and maintain relationships with cross-functional team across the business. Of importance are teams who set reporting guidelines and timelines.
  • Innovate to streamline reporting and governance processes.
  • Innovate on report and dashboard design to enhance story-telling.
