Business Support Partner

Description:
The Business Support Partner position provides comprehensive administrative and organizational support to the local team, particularly in coordinating participation in congresses and educational meetings, primarily held in the Czech Republic and neighboring countries. This role serves as the main point of contact for internal and external customers, agencies, and other stakeholders, working independently but always in compliance with internal policies, guidelines, and procedures.
Key Responsibilities:
- Organization and coordination of internal and external conferences, trainings, meetings, and other events in accordance with internal guidelines and procedures.
- Serving as the point of contact for internal colleagues, external customers, agencies, suppliers, conference organizers, and other key partners.
- Gathering and providing information, responding to inquiries regarding established policies and procedures, and directing colleagues to appropriate resources.
- Coordination of larger-scale projects and tasks, including sourcing suitable internal and external resources, compiling and distributing materials, compiling and tracking data, ensuring accuracy, verifying collected data, processing invoices, and monitoring project and budget status.
- Close cooperation with the finance and compliance departments.
- Creating, reviewing, and managing routine documents (letters, notes, emails, reports, presentations), ensuring grammatical and spelling accuracy.
- Defining, tracking, and maintaining budgets. Ensuring cost savings and spending within the allocated budget.
- Supporting internal and external audits.
- Handling confidential information and ensuring it is shared appropriately with internal and external individuals.
- Providing general office assistance – administrative duties such as printing, copying, meeting coordination, ordering and maintaining kitchen supplies, arranging travel, managing mail, liaising with couriers, and maintaining the appearance of the office)
Requirements:
- Experience in planning and organization is an advantage.
- Ability to work in an international environment.
- Organized – strong time management and prioritization skills.
- Proactive approach with excellent interpersonal and communication skills, able to communicate effectively at all levels.
- High attention to detail.
- Problem-solving skills.
- Able to work independently as well as part of a team.
- Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Word, Excel).
- Fluent knowledge of the Czech language (native speaker level) and English language (at least B1 level).
- Minimum of a secondary school education.
