Summary
The Business Optimization Program Manager owns portfolio-level coordination and governance across G&A's transformation portfolio (Project Compass). This role tracks dependencies, resource contention, risk, and status across concurrent projects; equips the VP of Business Optimization with the visibility needed to prioritize and sequence the portfolio; and partners with Project Managers to ensure individual projects are executed with rigor and delivered on time. Responsibilities- Establishes and maintains a formal system for tracking cross-project dependencies, resource contention (e.g., shared engineering and vendor capacity), risks, and timelines across all active transformation portfolio projects.
- Serves as the primary point of escalation for cross-project conflicts and blockers, resolving what can be resolved directly and escalating the rest to the VP of Business Optimization with clear options.
- Partners with and coaches Project Managers across assigned workstreams, providing project management methodology, best practices, and hands-on support where needed.
- Builds and maintains portfolio-level status, risk, and ROI reporting for executive leadership, the Board, and investors, in the format required for EBITDA-focused business case tracking.
- Leads prioritization and sequencing recommendations for the portfolio, working with the VP of Business Optimization to determine what enters the program, what stays at the department level, and what is business as usual.
- Stands up and continuously improves the tools, templates, and operating cadence (reporting rhythm, intake process, governance meetings) used to run the transformation office.
- Coordinates with vendor and internal engineering leadership to understand shared capacity constraints and flag conflicts before they impact delivery.
- Onboards new Project Managers and vendors into the program's governance model and reporting standards.
- Confirms completed projects transition cleanly to their ongoing owner (e.g., Product, department leadership) and tracks the portfolio's overall pipeline of active, completed, and upcoming workstreams.
- Within responsibility level, solves problems and communicates resolution to appropriate stakeholders.
Other Duties:
- Assists Project Managers and department leaders with overflow workload or acute project needs as necessary.
- Acts as a subject-matter expert in program and portfolio management practices and tools.
- Represents the transformation office in cross-functional forums as delegated by the VP of Business Optimization.
Education:
- Bachelor’s degree required; advanced degree a plus.
Skills & Experience:
- At least 10-12 years of experience in program management, business transformation, or PMO leadership is required.
- Demonstrated experience building and running program-level governance (dependency tracking, portfolio reporting, prioritization frameworks) across multiple concurrent projects is required.
- Experience managing vendor relationships and cross-functional stakeholders at the executive level is required.
- Strong written and verbal skills, including experience presenting to executive leadership and/or Boards, is required.
- Must be process oriented, able to drive to completion.
- Must be able to navigate and problem solve situations that may not easily fit in a regimented process. Critical thinking through complex problems required.
- Ability to coach and develop Project Managers, and strong process improvement acumen, is preferred.
- Ability to juggle multiple short- and long-term deadlines is required.
- Ability to influence others in the management of projects or work outside their immediate responsibility is required.
- Ability to work autonomously with focus on being self-driven is required.
Certifications/Licenses:
- PMP, PgMP, or equivalent program/project management certification is required.
- PHR, SHRM-CP, or experience in HR, PEO, or professional services industries preferred.
- Six Sigma preferred.
