The Role
About Thalamus

Thalamus is the market leader in graduate medical education recruitment technology, empowering over 8,000 residency and fellowship programs at 800+ health systems and all new physicians throughout the US annually. As we expand beyond GME into broader physician recruitment, our unique dataset—spanning the full profiles of residency/fellowship applicants and programs—positions us to revolutionize hiring in healthcare through AI/ML and data-driven insights. This furthers our mission to ensure the right doctor ends up at the right hospital to treat the right patients.

At Thalamus, our Business Operations Manager will work directly with our COO and help scale the execution engine across the company. That means you'll be at the center of the company’s growth system, covering GTM (Sales, Customer Success, Marketing) and G&A (Finance, Legal, HR).

Your role is to provide clarity, ensure accountability, and eliminate obstacles to execution. This includes:

  • Facilitating quarterly planning sessions, setting OKRs (Objectives and Key Results), and managing leadership meetings.
  • Creating dashboards to track key metrics such as GTM (Go-To-Market) performance, churn rate, Customer Acquisition Cost (CAC), and retention rates.
  • Managing cross-functional projects, including pricing changes, team enablement, and budget reforecasting.

You will...

  • Streamline and enhance business processes (primarily across G&A and GTM functions) to support company goals and scalability.
  • Manage key operational projects (e.g., system implementations, integrations, strategic initiatives, etc.), ensuring on-time delivery, budget adherence, and measurable outcomes.
  • Develop and maintain dashboards for tracking key metrics across departments. Dashboards should be scoped for both executive visibility as well as functional leader data-driven management.
  • Collaborate with legal and compliance teams to ensure adherence to policies (e.g., vendor risk assessments) and regulatory requirements (e.g. GDPR, CCPA, SOC2).
  • Optimize the use of existing tools and recommend new ones to enhance operational workflows, proactively seeking automation, AI-driven solutions, or integration opportunities to reduce manual workloads and support scaling.
  • Facilitate communication and collaboration across teams to achieve operational goals.

You should have...

  • Bachelor’s Degree in Business, Operations Management, Finance, Economics, and Hard Sciences, or related field (Master’s or MBA a plus).
  • 8+ years of experience in operational or project management roles, preferably within a fast-paced or growth-oriented environment.
  • Proven track record streamlining business processes and driving efficiency improvements.
  • Familiarity with process improvement frameworks (Lean, Six Sigma, Kaizen) and change management best practices
  • Ability to handle competing priorities and deliver on time and within budget.
  • Demonstrated data-driven decision-making skills, including creating and interpreting dashboards/KPIs.
  • Experience with analytics or visualization tools (Excel, Power BI, Tableau, etc.) to track operational metrics.
  • Practical knowledge of project management and CRM platforms (e.g., Asana, Trello, Azure DevOps, HubSpot).
  • Comfortable identifying and implementing new tools or integrations that enhance workflow efficiency.
  • Strong communication and interpersonal skills, with a talent for fostering collaboration across teams.
  • Experience leading or influencing without direct authority, especially in cross-functional settings.
  • Basic understanding of regulatory requirements or compliance obligations relevant to the organization.
  • Ability to assess operational risks and develop mitigation strategies.
  • Comfortable with ambiguity in a scaling organization—flexible in responding to changing priorities.
  • Proactive in identifying root causes of operational challenges and proposing creative solutions.

Bonus

  • Professional certifications (e.g., PMP, Scrum Master) are beneficial but not mandatory.

The salary range for this position is $140,000 - $180,000 and a grant of stock options. Final compensation will be determined based on experience, skills, and geographic location.

What We Do

Founded in December of 2013 and based in Santa Clara, California, Thalamus is the premiere, web-based, digital interviewing software specifically designed for application to graduate medical education (GME) training programs. Created by an anesthesiology residency applicant (now resident) and anesthesiology residency program director, Thalamus provides a comprehensive online interview reservation and travel experience via a real-time scheduling system – online and mobile. Whether on rounds in the hospital, studying for exams or traveling the country for interviews, residency and fellowship applicants may now instantaneously confirm their interview dates, take full control of their schedules and decrease their costs of travel. For program administrators, Thalamus streamlines communication by allowing applicants to self-schedule interviews, thereby eliminating unnecessary phone calls and emails. Thalamus handles all of the confirmations, cancellations, and rescheduling, so administrators can focus on the “personal touch” and optimize resident recruitment.
