Overview:
The Business Operations & Governance Coordinator plays a critical role within the COO Office, acting as the central point of coordination for enterprise-wide governance, reporting, and operational oversight. This role ensures that governance rhythms operate effectively, executive visibility is maintained, and actions, risks, and dependencies are tracked through to completion. You will partner closely with senior leadership (EXCO and MANCO), enabling disciplined execution, proactive risk management, and continuous operational improvement across the organisation.
Key responsibilities:
Governance Coordination & Administration:
Maintain enterprise governance registers (actions, risks, issues, decisions,
dependencies, escalations)Ensure all governance data is accurate, complete, and up to date
Track overdue actions and enforce accountability across stakeholders
Support governance discipline, standards, and documentation
Produce weekly governance status and action-aging reports
Executive & Management Reporting:
Prepare EXCO and MANCO reporting packs and executive summaries
Consolidate departmental updates into clear, actionable insights
Maintain governance dashboards and KPI reporting
Identify trends, risks, and areas requiring executive attention
Standardise reporting templates and improve reporting quality
Meeting Coordination & Governance Support:
Coordinate governance meeting agendas, packs, and stakeholder inputs
Capture actions, decisions, and escalations during meetings
Ensure minutes are accurate and distributed within SLA timelines
Track post-meeting actions and enforce closure discipline
Maintain a complete and auditable governance trail
Cross-Functional Coordination:
Track and manage interdepartmental dependencies
Proactively identify and escalate blockers
Facilitate alignment and information flow across teams
Support resolution of operational bottlenecks
Build strong collaborative relationships across all business units
Transformation & Operational Maturity
Support tracking of transformation initiatives and roadmap progress
Identify and drive process improvement opportunities
Contribute to governance maturity and operational excellence initiatives
Assist with continuous improvement and reporting enhancements
Qualifications & Experience:
Minimum Requirements:
Diploma or Bachelor’s Degree in Business Administration, Operations, Project Management, or related field
2–5 years’ experience in operations coordination, PMO support, governance, or business operations
Proven experience in cross-functional coordination and stakeholder engagement
Exposure to executive reporting or governance environments
Advantageous:
Experience within technology, professional services, or financial services environments
Exposure to transformation programmes or operational improvement initiatives
Familiarity with governance frameworks or PMO structures
Experience with Power BI, Tableau, or reporting tools
Project management certifications (CAPM, PMP, PRINCE2)
