Western Reserve Academy, one of the nation’s premier boarding schools, invites experienced, organized, and collaborative candidates to join the Business Office as a Business Office Assistant. This full time, 12-month role supports the daily operations of the school while working closely with colleagues across the Business Office, Facilities Department, and Campus Store.
Under the supervision of the CFOO, the Business Office Assistant provides administrative and operational support to help ensure these departments function smoothly and effectively. The ideal candidate is dependable, detail oriented, and comfortable managing a variety of responsibilities while providing friendly and responsive service to faculty, staff, students, and families.
This is a year-round, benefit-eligible position. Typical hours are Monday - Friday, 8:00 a.m. - 4:30 p.m.
Primary Responsibilities Include:
Business Office Duties:
- Greet and assist families, visitors, and others who come into the Business Office in a welcoming and friendly manner
- Answer telephone when not on auto-attendant and direct calls appropriately
- Order supplies for Business Office and Maintenance Department
- Receive and distribute Business Office mail
- At various times throughout the year, provide administrative support to outside programs
Facilities Duties:
- Serve as administrative assistant to the Director of Facilities, Assistant Director of Facilities and Director of Security
- Accurately maintain Trip Direct
- Schedule vehicle requests daily including approve/decline trips, input of appropriate data and close out of trips
- Coordinate vehicle keys, vehicles swaps, etc.
- Manage laundry fleet, including service requests
- Coordinate campus wide shredding
- Submit work orders on behalf of outsourced cleaning vendor
- Initiate and coordinate requests for rental items related to certain campus events
- Schedule pest control as needed
- Serve as liaison with Astro travel
- Issue and track parking passes
- Sign for all packages
Mailroom / Campus Store:
Student Mail:
- Create list of boarders’ mailboxes and combinations and assign mailboxes to students
- Distribute student mail to mailboxes
- Send reminders to students to collect mail and to change their address at year end
- Clear our mail at end of school year and forward as appropriate
Package Locker Room:
- Maintain database for package lockers – remove departing students, add new students
- Send e-mails to students regarding expiring packages, and/or packages that will not be placed in a locker
- Monitor items not permitted in dorms and notify students and SLO
- Maintain list of students permitted to have a mini fridge per SLO and/or Health Center
Store Support:
- Provide back-up coverage (likely 1 – 2 hours daily) for lunches, breaks, and certain campus events by serving in a customer support role, including, but not limited to operating the register
- Assist as needed in providing support for inventory, stocking and /or other store projects
Requirements
- High school diploma required; associate degree or higher preferred
- Demonstrated ability to use basic software applications, including Microsoft Word and Excel
- Experience with integrated software systems; experience with Veracross or similar platforms preferred
- Strong attention to detail and a high level of accuracy
- Excellent organizational and time management skills
- Ability to interact with others in a welcoming, friendly, and professional manner
- Ability to solve problems effectively and collaborate with others
- Ability to manage multiple responsibilities and priorities in a busy school environment
