Caltrol is hiring a Business Analyst & Compliance Specialist to support our Finance and Accounting team onsite in Las Vegas, NV. This role is responsible for reviewing contracts, managing compliance-related documentation, maintaining critical business records, and helping protect Caltrol's assets by identifying and mitigating risk across contracts, insurance requirements, licensing, pre-qualification submissions, and customer/vendor documentation.

We're looking for someone with strong business acumen and a solid background in finance, accounting, contracts, and compliance. The ideal candidate is an analytical and detail-oriented professional who can effectively collaborate with internal stakeholders, customers, insurance partners, vendors, and legal counsel while navigating complex business situations and helping drive sound business decisions.

Hiring Range

The hiring range for this position is $80,000-$92,000 annually plus bi-annual Profit Sharing opportunities. This is the pay scale range Caltrol reasonably expects to pay for this position at the time of this posting. The base pay actually offered will take into account internal equity and may vary based on geographic region, skills, qualifications, and experience of the candidate, along with the requirements of the position.

What you'll be doing:

  • Review and analyze contracts, work orders, and legal documents that impact company risk, compliance, and profitability. Negotiate contract revisions that protect Caltrol's interests while maintaining strong customer relationships.
  • Manage and maintain Caltrol's contract management system, LinkSquares, ensuring contract records are accurate, organized, and accessible.
  • Coordinate the issuance and maintenance of customer insurance certificates and documentation required to support contracts and customer relationships.
  • Manage licensing and compliance-related filings with governmental agencies, including contractor licensing, foreign corporate registrations, and annual reporting requirements across multiple states and territories.
  • Complete customer prequalification submissions and maintain portal requirements related to safety, sustainability, quality, and other compliance initiatives.
  • Support sales teams by providing compliance, financial, and corporate documentation needed for bids, proposals, audits, and customer qualification processes.
  • Partner with senior leadership, sales managers, customers, insurance providers, vendors, and legal counsel to ensure contractual obligations, compliance requirements, and business-critical documentation are properly managed.
  • Identify potential contractual, financial, and operational risks and provide recommendations to help safeguard Caltrol's assets and reputation.

What we’re looking for:

  • Strong background in Finance, Accounting, Risk Management, Business Administration, or a related field.
  • Knowledge of legal contracts, business law, compliance requirements, and commercial agreements.
  • Experience reviewing, analyzing, and negotiating contract terms and conditions while balancing business objectives and risk mitigation.
  • Understanding of business transactions, financial statements, and the relationship between balance sheet and income statement performance.
  • Ability to coordinate with legal counsel, customers, vendors, and internal stakeholders to review, create, or amend contracts and legal documents.
  • Strong technical proficiency with Microsoft Office applications, particularly Excel, Word, and PowerPoint.
  • Excellent verbal and written communication skills with the ability to interact professionally with customers, senior leaders, sales teams, insurance providers, government agencies, and external partners.
  • Exceptional attention to detail, organization, and follow-through when managing sensitive business, financial, compliance, and contract-related information.
  • Strong analytical and critical-thinking skills with the ability to identify potential business risks and recommend practical solutions.
  • Ability to prioritize multiple projects, manage competing deadlines, and maintain accuracy in a fast-paced environment.

A Plus If You Have:

  • MBA in Finance, Accounting, Business Administration, or a related field.
  • Experience managing contractor licensing, corporate registrations, insurance certificates, or regulatory compliance programs.
  • Experience with contract management platforms such as LinkSquares, Ironclad, DocuSign, or similar systems.
  • Background in industrial automation, manufacturing, distribution, engineering services, or other regulated industries.
  • Knowledge of Caltrol's products and services, as well as the industrial process automation industry.

Work Environment/Schedule:

This job is performed primarily on-site at our corporate office in Las Vegas, NV. This position is eligible for Caltrol's hybrid work program, allowing remote work for up to two days per week, subject to program qualifications, business needs, and manager approval. This job is performed in a typical office environment and may require prolonged periods of sitting at a desk and working on a computer. What Success in This Role Looks Like

Success in this role means becoming a trusted advisor and resource for contract review, compliance, and risk management across the organization. You'll play a key role in protecting Caltrol's assets by identifying potential contractual and business risks, supporting customer and regulatory compliance requirements, and providing timely, accurate guidance to sales teams and leadership.

In your first several months, you'll build a strong understanding of Caltrol's business, contract review processes, customer requirements, and compliance obligations. You'll become proficient in LinkSquares and develop the judgment needed to recognize contractual terms, documentation requirements, and compliance issues that could expose the company to unnecessary risk.

As you grow in the role, you'll be relied upon to:

  • Deliver thorough and timely contract reviews that balance business objectives with risk mitigation.
  • Maintain accurate, organized records of contracts, insurance, licensing, and compliance.
  • Serve as a trusted partner to sales, finance, leadership, legal counsel, and external stakeholders.
  • Identify potential risks and recommend practical solutions that protect Caltrol's interests while supporting strong customer relationships.
