Coffman is seeking a full-time Billing Specialist (5+ years) with five or more years of experience for our growing Region. In this role, you will manage and oversee the billing process, ensuring accuracy and efficiency in invoice generation, and maintaining strong relationships with Project Managers, external clients, and internal stakeholders. This role involves handling complex billing issues and the ability to communicate detailed information to customers and project management staff.
The ideal candidate possesses outstanding communication skills, an interest in teamwork and collaboration, attention to detail, and a desire to work in a creative professional environment.
Qualifications
Requirements Include:
- Bachelor’s degree in accounting, Finance, or a related field (preferred)
- Minimum of 5 or more years of billing/accounting experience with an engineering, consulting, general contractors, or other project-based firm (required)
- Certification in billing or accounting (preferred)
- Experience with BST and FileMaker Pro (preferred)
- Strong knowledge of billing procedures, regulations, and best practices.
- Ability to independently manage time and prioritize responsibilities to meet deadlines.
- Clear and concise written and verbal communication skills.
- Commitment to providing the highest quality work, accuracy, and customer service.
- Applicants must demonstrate strong interpersonal skills and the ability to effectively communicate with both clients and staff.
- Must be detail-oriented in a fast-paced environment.
- Applicants should demonstrate proficiency in collecting.
In This Role You Will:
- Manage the project billing from beginning to completion for the Southeast Region.
- Prepare monthly draft bills for Project Managers and General Managers review; revise as needed.
- Research and resolve billing inquiries and issues from clients or staff.
- Ensure clients invoicing documentation requirements are complete and client has everything required to process.
- Track and pursue accounts receivable.
- Manage and administer new project set-up in the accounting system.
- Maintain project billing files.
- Assist project managers with project reporting and provide various reports to management as requested.
- Work with project managers as needed on project budget maintenance.
- Ensure sub consultants invoicing documents are complete and ready for processing.
- Additional activities include, but are not limited to: accounts payable, check deposits, and cash disbursement journal

This position is a hybrid position with three in-office/two WFH days.
