MHS is seeking a Billing Operations Lead with 5+ years of experience to drive operational improvements, modernize billing processes, and help build a more efficient, scalable billing function. This senior-level, hands-on role combines technical billing expertise with operational leadership, focusing on systems optimization, automation, reporting, internal controls, documentation, and training to improve accuracy, consistency, and overall billing performance. Approximately 40% of the position involves hands-on billing for an assigned portfolio, keeping the Lead closely connected to daily workflows, client requirements, and opportunities for improvement.

The Billing Operations Lead will collaborate closely with the Billing Manager, billing team, attorneys, and Firm leadership to develop and implement operational improvements.  This is a senior operational and technical leadership role focused on improving billing processes, systems, and performance, rather than personnel management.

Billing Operations: Process Improvement, Systems and Operational Leadership

  • Evaluate billing workflows and recurring issues to identify opportunities to improve efficiency, accuracy, consistency, and scalability.
  • Develop and implement standardized, repeatable billing procedures, controls, and best practices, including client-specific billing documentation.
  • Take ownership of billing-related systems, workflows, and process improvements, including identifying opportunities for automation and supporting software upgrades, system integrations, and testing reports and outputs for accuracy.
  • Analyze e-billing rejections, reductions, and recurring exceptions to identify root causes and prevent recurring issues.
  • Develop meaningful billing, e-billing (such as rejection rates and time to payment), and collections metrics and reporting to improve visibility into performance, trends, and potential issues.
  • Develop training resources and train team members on processes and systems for consistency and continuity.
  • Work with attorneys, Finance, and the Billing Manager and team to implement billing practices to improve efficiency and accuracy and ensure day-to-day billing aligns with Firm processes and standards.
  • Partner with attorneys and Firm leadership to address complex billing requirements, support billing needs tied to Firm growth, new offices, and new clients, and reduce the administrative burden on attorneys and the billing team through better procedures and technology.
  • Provide senior-level technical and operational support to help maintain continuity of billing processes when needed, without assuming responsibility for personnel supervision. Assume a leadership role for the billing function when the Billing Manager is absent.

Core Billing Responsibilities: Hands-On Billing

  • Prepare, review, revise, and finalize client invoices for an assigned portfolio, ensuring accuracy, compliance with client billing guidelines, and timely delivery.
  • Manage the electronic billing submission process, including preparing LEDES files with UTBMS coding, gathering required information, submitting invoices through client e-billing platforms, monitoring invoice status, and resolving rejections, reductions, and billing exceptions to ensure timely payment.
  • Prepare and submit timekeeper and rate requests, monitor approvals, investigate discrepancies, and follow through to resolution to maintain accurate client billing arrangements.
  • Monitor client collections, track collection commitments, and work with attorneys who share ownership of collections follow-up, to drive timely payment in line with Firm financial objectives.
  • Support the monthly billing close process, including identifying and resolving outstanding billing issues.
  • Work with attorneys to apply outside counsel guidelines, special billing arrangements, and alternative fee arrangements, and to resolve complex invoice issues.

  • Competitive salary
  • Year-end bonus
  • Paid time off
  • 401(k) employer matching
  • Medical, dental, and vision insurance
  • Voluntary Life and AD&D insurance
